Overview
We are seeking a dedicated and detail-oriented Legal Assistant to join our professional team. The successful candidate will provide essential support to our legal department, ensuring smooth operations and effective case management. As a Legal Assistant, you will provide administrative support to our solicitors and to assist them on case matters as follows:
Responsibilities
- Assist with the preparation and organisation of legal documents, files, and correspondence
- Conduct research and analyse legal information to support case development
- Manage schedules, appointments, and deadlines for legal staff
- Liaise with clients, witnesses, and external agencies in a professional manner
- Maintain accurate records of case progress and document updates
- Support the legal team with administrative tasks such as filing, photocopying, and data entry
- Ensure compliance with confidentiality protocols and data protection regulations
- Provide exceptional customer service by addressing queries efficiently and courteously
- Perform general administrative tasks such as answering phone calls and completion of forms relating to client matter.
- To ensure that all work is undertaken in accordance with the office practice & procedures.
- To undertake the work on case files using the firm's case management software, ensuring all correspondence and documents are saved in accordance with the firm's practice and procedures.
- To become familiar with the areas of law being practiced by the firm and the updates on each area.
- To become familiar with the SRA Code of Conduct and Solicitors Accounts Rules.
- To be able to take instructions from client on new matters and open the file in accordance with the office practice and procedures.
- To be able to work under pressure and have the ability to prioritise work.
- Carry out client identity checks and support anti-money laundering (AML) compliance, maintaining robust audit trails and accurate, audit-ready case files in line with firm procedures.
- Liaise with clients, estate agents, mortgage lenders, surveyors, HM Land Registry, local authorities and other third parties to obtain documentation, chase outstanding items and manage expectations professionally.
- Respond to routine client and third-party enquiries by telephone and email, escalating complex issues to fee earners in a timely manner and keeping clients informed of progress.
- Good understanding of residential property processes including HM Land Registry procedures, Stamp Duty Land Tax (SDLT) returns and leasehold documentation.
- Knowledge of AML and client identification requirements and experience maintaining audit-ready files and compliance documentation.
- Strong organisational skills with the ability to manage competing priorities, meet deadlines and maintain attention to detail across multiple matters.
- Confident and professional communicator with excellent interpersonal skills and the ability to liaise effectively with clients, colleagues and external contacts.
- Proactive, reliable and solutions-focused with a willingness to develop technical knowledge, embrace new systems and support team improvements.
Requirements
- Proven organisational skills with the ability to manage multiple priorities effectively
- Strong analysis skills to interpret legal documents and information accurately
- Previous administrative experience, preferably within a legal or professional environment
- Excellent customer service skills with a professional demeanour
- Ability to work independently as well as part of a team in a fast-paced setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or similar programmes
- Attention to detail and high level of accuracy in all tasks undertaken
