We are seeking a motivated and dynamic Lettings Negotiator to join our team. In this role, you will be responsible for facilitating the rental of properties, providing exceptional customer service and ensuring a smooth transaction process for clients. The ideal candidate will possess strong communication skills, a keen eye for detail, and the ability to manage multiple tasks efficiently.
Duties
Handle all customer enquiries and communications promptly, professionally and helpfully.
Respond to customer enquiries within agreed timescales and no later than one working day where possible.
Maintain a strong knowledge of the Company’s services, properties, procedures and developments to ensure enquiries are dealt with efficiently.
Accurately obtain all relevant information from customers and ensure details are recorded promptly on the appropriate database/system.
Build and maintain positive relationships with landlords, tenants, applicants and other relevant parties.
Follow up enquiries, applicants and prospective tenants to maximise lettings opportunities.
Provide clear and accurate information regarding properties, rental terms, availability and the lettings process.
Ensure complete and accurate property information is obtained before marketing.
Prepare clear, accurate and engaging property descriptions and ensure suitable photographs are available.
Liaise with landlords and property management to ensure properties are appropriately presented and ready for marketing.
Maintain online property portals, website listings, window displays and other marketing channels with accurate and up-to-date information.
Remove let properties and update availability promptly.
Ensure all marketing complies with Company procedures and relevant legislation.
Arrange and conduct property viewings in a professional and friendly manner.
Provide prospective tenants with accurate information about properties and answer questions where appropriate.
Manage viewing appointments efficiently and liaise with landlords, tenants and colleagues as required.
Follow up applicants after viewings and obtain feedback.
Provide accurate feedback to landlords and relevant members of the team.
Identify suitable applicants and proactively progress potential lettings.
Ensure properties are left secure, clean and tidy following viewings.
Manage applicants through the lettings process from initial enquiry through to successful move-in.
Register and qualify prospective tenants, establishing their requirements and suitability.
Arrange and negotiate offers between landlords and prospective tenants.
Communicate offers clearly and promptly to all relevant parties.
Liaise with landlords and tenants to progress agreed lets efficiently.
Coordinate with referencing, administration, property management and other relevant teams to ensure a smooth and timely process.
Keep all parties regularly updated on the progress of their application.
Identify and resolve issues or delays promptly and professionally.
Maintain accurate records of negotiations, offers, applications and tenancy progression.
Provide general administrative support, including typing, photocopying, filing and correspondence as required.
Ensure all administrative tasks are completed accurately, professionally and within agreed timescales.
Provide cover and support for other members of the team during periods of peak workload or absence.
Maintain an efficient, organised and effective service in accordance with current regulations and Company policies and procedures.
Follow appropriate systems and processes to ensure services are delivered consistently and efficiently.
Maintain high standards of accuracy, punctuality, presentation and customer service at all times.
Work collaboratively with colleagues to ensure the smooth and efficient operation of the lettings service.
Maintain confidentiality in relation to all Company, landlord, tenant and applicant information.
Ensure all activities comply with relevant legislation, regulations and Company procedures.
Pay: £26,500.00 per year
