Job Title: Administrator

Hours: 37 hours per week, 4 days per week, working 07:30 - 17:15
Week 1 working Tuesday to Friday, Week 2 working Monday to Thursday
This role requires security vetting. You must have been a UK resident for at least 10 years.
Role Summary
This is a varied and fast paced role where every day is different. You'll provide a welcoming reception service, supporting visitors attending medicals or appointments and directing them to the appropriate clinician. You'll also manage bookings, walk-in queries, the generic inbox and management referrals, alongside answering and logging calls. The role involves regular computer and screen-based work and requires someone who is organised and approachable. The role is a 4 day week with an optional on call rota which includes a salary uplift.
Main Duties and Responsibilities

Provide efficient day-to-day administrative support, including document management, filing and maintaining accurate databases.

Coordinate diaries, clinics and appointments, including follow ups and vaccination programmes in line with recall schedules.

Act as a friendly and professional first point of contact for clients, customers and colleagues via telephone and email.

Maintain accurate and confidential occupational health records, ensuring information is regularly reviewed and updated.

Manage incoming correspondence and support the wider administration team, including providing cover when required.

Organise and prioritise your workload while working collaboratively with colleagues to meet departmental needs.

Handle sensitive information with professionalism and discretion, ensuring compliance with relevant data protection, confidentiality and information governance requirements.
