HomeLink Healthcare is looking for an organised and proactive Clinical Office Administrator to join our growing Private Patient Service, providing essential administrative and coordination support to our clinical teams across London.

About the Role
- Provide day-to-day administrative support to the Private Patient Service
- Act as the first point of contact for patients, carers, consultants, GPs and healthcare professionals
- Respond promptly and professionally to telephone and email enquiries
- Process referrals and register new patients onto clinical systems
- Prepare, maintain and update accurate electronic patient records
- Monitor shared inboxes and prioritise actions appropriately
- Support clinicians with the day-to-day coordination of patient activity
- Schedule patient visits and clinician diaries to maximise service efficiency and continuity of care
- Monitor operational activity and escalate scheduling issues where appropriate
- Coordinate communication with external healthcare providers to support safe transfers of care
- Maintain stock levels and arrange the ordering of clinical supplies and equipment
- Support reporting, meetings and general administrative activities
- Contribute to the continuous improvement of administrative processes as the service continues to grow
About You
You will have previous administrative experience and be confident working in a busy, fast-paced environment where organisation, accuracy and attention to detail are essential.
You will be proactive, approachable and able to manage competing priorities while maintaining excellent customer service and communication with patients, clinicians and healthcare professionals.
You will enjoy working both independently and as part of a team, always maintaining confidentiality and delivering a professional, patient-focused service.
Essential Skills and Experience
- Previous administrative experience
- Excellent customer service and communication skills
- Strong organisational and prioritisation skills
- Good IT skills, including Microsoft Office
- Experience maintaining accurate electronic records
- Ability to work independently and collaboratively within a team
- High attention to detail and accuracy
- Ability to maintain confidentiality at all times
Desirable Experience
- Experience within private healthcare or the NHS
- Experience supporting clinical scheduling or service coordination
- Experience using electronic patient record or scheduling systems
- Experience contributing to service or process improvements
You will also need:
- Good availability to support this flexible Bank role as service demand increases
- Right to work in the UK (sponsorship is not available)
