We’re looking for an experienced individual to join our thriving mixed dental practice, helping to ensure our patient journey is seamless, efficient, and always welcoming.
About the Role
You will play a key role in supporting our practice team, helping to maintain smooth day-to-day operations at reception and throughout the patient pathway. This is a hands-on, people-focused role that combines customer service excellence, team support, and practice coordination, while helping to ensure practice KPIs and performance standards are consistently met.
You will work closely with the wider practice team to support operational efficiency, enhance the patient experience, and contribute to achieving key performance indicators, including appointment utilisation, patient satisfaction, and administrative accuracy.
Your main responsibilities will include:
- Assisting and supporting the Front of House team in delivering a high-quality, patient-centred experience.
- Supporting, mentoring, and guiding team members to help them perform confidently and effectively in their roles.
- Helping to ensure practice KPIs are achieved, including efficient diary management, patient journey coordination, and administrative performance.
- Supporting patients throughout their journey, ensuring they feel welcomed, informed, and cared for at every stage.
- Overseeing aspects of referrals coordination, ensuring timely, accurate, and compliant processing.
- Gathering and analysing patient feedback and working with management to implement improvements.
- Supporting the practice in maintaining, monitoring, and improving systems, workflows, and operational standards.
- Collaborating with the wider team to promote a positive working environment and ensure smooth day-to-day operations.
About You

Essential skills & experience:
- Proven experience delivering excellent customer service to high volumes of patients.
- Strong organisational, communication, and coordination skills.
- Experience supporting or mentoring team members in a professional environment.
- Ability to contribute to achieving performance targets and maintaining operational standards.
- A proactive approach to problem-solving and continuous service improvement.
- Excellent attention to detail and the ability to multitask under pressure.
Desirable:
- Previous experience in a dental or healthcare setting.
- Experience coordinating referrals or working with patient feedback systems.
- Leadership or supervisory experience in a front-of-house or administrative environment.
- Understanding of KPI monitoring, diary optimisation, or patient journey management.
