Job Purpose
To manage the financial administration of a portfolio of residential developments, ensuring accurate accounting, service charge budgeting, bank reconciliations, invoice processing, arrears management, and compliance with relevant legislation and industry best practice.
Key Responsibilities Service Charge Accounting
- Prepare and maintain accurate service charge accounts for a portfolio of residential developments.
- Assist with the preparation of annual service charge budgets and forecasts.
- Monitor expenditure against budgets and investigate variances.
- Liaise with managing agents, directors, and accountants regarding financial matters.
- Support the preparation of year-end accounts and external audits.
Bank Reconciliations
- Perform monthly reconciliations of client and service charge bank accounts.
- Investigate and resolve any discrepancies promptly.
- Ensure all client monies are accounted for in accordance with RICS Client Money Protection requirements.
Invoice Management
- Process supplier invoices accurately and within agreed timescales.
- Verify expenditure against approved budgets and contractual agreements.
- Prepare payment runs and maintain supplier records.
- Resolve supplier queries and payment disputes.
Budget Preparation
- Assist in the preparation of annual service charge budgets for managed developments.
- Analyse historical expenditure and anticipated costs.
- Produce budget reports and supporting documentation for clients and directors.
Service Charge Debt Collection
- Monitor service charge arrears across the portfolio.
- Issue reminder notices and arrears correspondence.
- Liaise with leaseholders regarding outstanding balances.
- Instruct solicitors and debt recovery agents where necessary.
- Maintain accurate records of recovery actions and payment plans.
- Produce regular arrears reports for management and clients.
Financial Reporting
- Produce monthly and quarterly financial reports for property managers and clients.
- Assist with cash flow forecasting and reserve fund monitoring.
- Provide financial information and analysis to support operational decision-making.
Compliance & Administration
- Ensure compliance with lease terms, accounting regulations, and company procedures.
- Maintain accurate accounting records and audit trails.
- Assist with continuous improvement of financial processes and controls.
Skills & Experience
- Experience preferable but not essential within block management, property management, or service charge accounting.
- Strong understanding of service charge accounting principles.
- Experience of bank reconciliations and invoice processing.
- Experience of debt collection and arrears management.
- Excellent attention to detail and numerical accuracy.
- Strong Microsoft Excel skills.
- Ability to prioritise workload and meet deadlines.
Desirable
- Experience using property management software such as Blocks Online, Qube, TRAMPS, Horizon, or similar.
