We are looking for an experienced Facilities Coordinator to join our team and work closely with our Property Manager.
The Role
The Facilities Coordinator will manage reactive repairs, planned maintenance and contractor instructions across the portfolio. You will coordinate jobs from the initial report through to completion, keeping residents, contractors and Property Managers updated throughout.
Fixflo is our main maintenance management system. You will be responsible for ensuring jobs are updated accurately and that all relevant quotations, reports, photographs, certificates and completion paperwork are uploaded before instructions are closed.
Our aim isn’t to be the biggest agent, but the best. We deliberately keep portfolio sizes manageable so our customers receive consistently high-quality service.

Key Responsibilities
· Coordinate reactive repairs and planned maintenance across multiple residential developments.
· Work closely with Property Managers to prioritise and progress maintenance issues.
· Raise and manage contractor instructions through Fixflo.
· Arrange contractor appointments and access with residents and site teams.
· Obtain and compare quotations for maintenance works.
· Monitor outstanding jobs and follow up on delays.
· Keep residents and Property Managers updated on progress.
· Ensure contractor reports, photographs, certificates and completion paperwork are uploaded to Fixflo.
· Maintain a clear and accurate audit trail for each instruction.
· Check that works have been completed before closing jobs.
· Escalate urgent, high-risk or repeatedly delayed matters.
· Build strong and professional relationships with contractors and suppliers.
· Monitor contractor performance, communication and service standards.
· Support the coordination of compliance and remedial works.
· Attend residential developments when required.
Skills and Experience
The successful candidate will have:
· Previous experience within residential property management, block management or facilities management.
· Would be advantageous if TPI accredited.
· Experience coordinating repairs, contractors or maintenance services.
· Excellent organisation and coordination skills.
· The ability to manage multiple jobs and competing priorities.
· Strong written and verbal communication skills.
· Confidence dealing with residents, contractors and suppliers.
· Strong attention to detail and accurate record-keeping.
· A proactive approach to following up outstanding work.
· Experience using online property or maintenance management systems.
· Confidence using Microsoft Outlook, Word and Excel.
*Experience using Fixflo and working with high-rise residential buildings would be an advantage.
