Coatings Administrator
Based in Newcastle-Under-Lyme.
Salary £27,000.00 Per Annum

RCM, a member of the Benx Group and one of the UK’s leading suppliers of specialist building boards, facades, and through-wall solutions, are seeking an experienced Coatings Administrator to join our Operations Department.
Reporting to the Head of Production and Facades, the successful candidate will be responsible for providing administrative and coordination support for coating and painting activities, ensuring accurate documentation records and project information. The role supports communication between Production, Facades, Quality, suppliers and project teams, whilst also providing administrative support to the Head of Production and Facades.
Key responsibilities include;
· Customer account coordination including raising orders, being a first point of contact and offering excellent customer service.
· Maintain accurate records relating to painting, coating, and surface preparation activities
· Prepare, issue, update, and file coating documentation, including paint specifications, coating procedures, technical data sheets, safety data sheets, inspection records, and reports
· Maintain coating and paint registers, ensuring information is accurate and up to date.
· Record and track paint and coating materials, including product names, batch numbers, quantities, expiry dates, and relevant certification.
· Assist with the preparation of daily and weekly coating progress reports.
· Collate information from supervisors, quality control, and operational teams to maintain accurate project records.
· Track coating activities against project schedules and highlight outstanding documentation, inspections, or actions.
· Maintain records of surface preparation, environmental conditions, coating applications, repairs, and final inspections where applicable.
· Assist quality assurer and management with the compilation and administration of coating inspection documentation.
· Ensure completed inspection and quality records are correctly filed and traceable to the relevant component, area, drawing, or project.
· Support the preparation of project handover documentation, quality dossiers, manufacturing record books, and coating completion packs.
· Maintain records of coating-related non-conformances, repairs, and close-out actions.
· Liaise with paint/coating suppliers regarding technical documentation, certification, deliveries, and product information as required.
· Assist with monitoring paint and consumable stock levels and coordinate with purchasing personnel where necessary.
· Ensure current revisions of coating specifications, procedures, and technical documents are available to relevant personnel.
· Provide general administrative support to coating supervisors, and production team across our two sites (Parkhouse and Brookhouse)
· Maintain electronic and hard-copy filing systems in accordance with company and project document-control requirements.
· Support compliance with company Health, Safety, Environmental, and Quality procedures.
General Administration Support
· Support Head of Production and Facades with daily, weekly, monthly administration tasks
· Organising meetings, prepare supporting documentation, take minutes, and maintain action trackers.
· Follow up agreed actions, deadlines, and priorities with relevant managers and departments.
· Prepare and collate reports, presentations, spreadsheets, correspondence, and management information for the Head of Production and Facades
· Coordinate communication and information between Production, Facades, Coatings, Quality, Procurement, Planning, and other departments.
· Support the tracking of departmental KPIs, project milestones, operational priorities, and improvement actions.
Experience/knowledge required;
· Previous experience in an administrative, project support, document control, production, engineering, or quality-related role.
· Experience within industrial painting, protective coatings, fabrication, manufacturing, construction, or a similar environment is desirable.
· Good organisational skills with strong attention to detail.
· Ability to maintain accurate records and manage multiple documentation requirements.
· Good working knowledge of Microsoft Office, particularly Excel, Word, and Outlook.
· Ability to communicate effectively with supervisors, inspectors, engineers, suppliers, and project teams
· Ability to prioritise workload and work to project deadlines.
· Familiarity with technical specifications, quality documentation, inspection records, and material certification would be advantageous.
· Knowledge of protective coating terminology, paint systems, surface preparation, and coating inspection requirements would be beneficial.
