LOCATION: The Black Watch Castle & Museum, Balhousie Castle, Perth
EXPECTED HOURS: 35 hours per week (inc. weekends and evening work)

PURPOSE OF JOB
The Operations and Facilities Manager oversees daily business processes, building maintenance, and workplace safety to ensure the Trust is an efficient and compliant organisation and a welcoming space for all guests and visitors.
Core duties include: creating a welcoming and safe environment for all guests, employees and volunteers; maintaining Balhousie Castle and its grounds; managing budgets, supervising contractors; build positive commercial performance and control running costs; represent the Trust with a range of stakeholders such as the Regimental family, industry bodies and supporting fundraising activity; etc..
The Operations and Facilities Manager will deputise for the CEO in their absence, on non-Regimental Association matters, to ensure the continued efficient running of the organisation.
MAIN DUTIES AND RESPONSIBILITIES
Operations
- Responsible for maintaining a safe environment for guests, employees and volunteers, including; regular reviews of Departmental H&S Folders; regular reviews of Risk Assessments; Fire Risk Assessment; maintenance of accident/incident/near-miss records and reporting; Control of Contractors Procedures; Health and Safety training; COSHH (excluding Kitchen).
- Assume the role of Duty Manager on most work days (including opening and closing duties).
- Ensure that Balhousie Castle and the grounds are presentable and ready to welcome guests on a daily basis.
- Attend the Heads of Department Meeting (weekly) and the Events Meeting (quarterly) playing an integral part in planning and improving general and commercial operations.
- Develop a good working knowledge of other departments’ systems and operations.
- Manage the First Aid function within the premises (reporting, monitoring training requirements, stock checks and ordering, etc.)
- Monitor business levels on a daily basis and assist department managers at peak times as required to maintain excellent levels of customer service.
- Adopt an active role in guest communications, including the successful resolution of any operational issues that may arise.
- Key holder and alarm responder for Balhousie Castle.
- Act as Secretary of the Balhousie Castle Committee and attend other Trust Committee Meetings as an ex-officio member, namely: Finance and Investment Committee; Museum and Archive Committee.
- Deputise for the CEO in their absence.
Facilities
- Manage the effective maintenance of Balhousie Castle (exterior and interior) in line with the Savills’, and any future, maintenance schedule and in conjunction with the Curator for Museum and Archive matters.
- Preparation of the annual Maintenance budgets (in conjunction with the Finance Manager) for planned works and projects.
- Manage, prioritise and coordinate the work of the Maintenance and Janitorial Assistant.
- Arrange testing (including compliance) as required: EICR; PAT; play equipment; fire extinguishers; fire and intruder alarm systems, boiler and heating systems; annual plumbing and heating inspections; etc..
- Manage the activities, training, equipment, Health and Safety of the Gardening Team Volunteers.
- Contractors – source and communicate with a range of contractors to ensure quality works are carried out in a safe and cost effective manner.
- Principal point of contact for Aramark – cleaning contractors.
- Manage the BMS and other building systems to create a safe and comfortable working and visitor environment while controlling costs in a sustainable manner.
Additional Information
- This is not an exhaustive list of responsibilities and the post holder may be asked to undertake other/additional duties within the remit of the role and appropriate to their level of seniority as requested by the CEO.
- The Operations and Facilities Manager will normally work 5 out of 7 days which will include regular weekend days and occasional evenings.

Person Specification
Skills and Experience
Essential
- Operations/Facilities experience within a multi-use site
- Experience of working in an environment where members of the public interact with both facilities and staff
- Leadership and management experience
- Able to demonstrate experience of dealing directly with members of the public
- Dealing with contractors and suppliers
- Creating RAMS for internal use
- Reviewing RAMS with contractors
- Experience of the control of contractors while working on site
- Strong written/verbal communication skills and numeracy skills
- Working with various Microsoft packages (Outlook, Word, Excel, etc.)
- Experience of delivering Health and Safety training sessions
Desirable
- Experience of working within a visitor attraction environment
- Experience of working in an environment that hosts numerous event types as well as accommodating school and community groups
- Project Management
- Effective communication with Senior Management and Board Members
- Experience of dealing with a range of HR matters
- Experience of working within a premises that operates an alcohol license
- Experience of managing First Aid within an organisation
Qualifications and Training
Essential
- IOSH Managing Safely qualification (or equivalent)
Desirable
- NEBOSH Diploma
- NEBOSH Certificate
- Relevant university or college qualifications (or equivalent experience in a relevant field)
- Alcohol Licensing Scotland Awareness Training
- Alcohol Licence Holder
- First Aid Training
