Winkworth Estate Agents – Leamington Spa
£25,000 – £30,000 + Performance Bonus
An exciting opportunity has arisen for a highly organised and professional Administrator to join Winkworth Leamington Spa, supporting a busy and growing residential sales team.
Following our recent expansion and acquisition of the Peter Clarke network, this role sits at the heart of the Leamington Spa office and plays a key part in ensuring the smooth running of day-to-day operations, while delivering an exceptional experience for our clients.
This is a varied and fast-paced position, suited to someone who is proactive, detail-oriented, and confident managing multiple priorities within a professional environment.
Main Purpose of the Role
As Administrator, you will be responsible for supporting the sales team and Managing Director across all aspects of administration, compliance, and client coordination. You will act as a central point of contact within the office, ensuring that processes run efficiently and that clients and their properties progress smoothly from instruction through to completion.
Position in the Organisation
Reports to: Managing Director and any other Senior Staff Member in Leamington Spa Office
Key Internal Relationships: Sales Team, Central Administration Team, Lettings, Property Management and Accounts Teams (Stratford-upon-Avon)
External Relationships: Clients, Applicants, Contractors, Suppliers
Key Responsibilities
Client & Sales Administration
- Complete AML and compliance checks in line with current regulations
- Draft and issue Terms of Business, Sales Memorandums and associated documentation
- Maintain accurate records on CRM systems (Reapit or similar)
- Support the sales team in progressing transactions where required
- Liaise with buyers, sellers, solicitors and third parties to ensure smooth sale progression
- Register new clients and applicants, ensuring all information is accurately recorded
Diary & Team Coordination
- Manage diaries for the sales team and Managing Director
- Book and coordinate market appraisals, viewings and meetings
- Organise appointments with third parties, including contractors, photographers and EPC providers
Office Administration & Operations
- Oversee general office administration to ensure smooth day-to-day operations
- Generate and distribute sales invoices
- Act as a key point of contact for clients, applicants, landlords and tenants
- Answer calls, manage emails and respond to enquiries in a professional manner
- Work closely with the central administration hub in Stratford-upon-Avon
- Coordinate with contractors to manage works and ensure timely delivery
- Maintain office systems, filing and data management processes
Marketing & Compliance Support
- Liaise with Winkworth’s central teams to support marketing, training and compliance
- Assist with preparing property details and marketing materials where required
- Ensure adherence to company procedures and regulatory requirements
Office Presentation
- Maintain the overall presentation of the office
- Manage and update the shop window to a high standard
General
- Provide ad-hoc support to the Managing Director and wider team as required
- Contribute to continuous improvement of office processes and efficiency
About You
Experience & Skills
- Previous experience in an administrative or customer-facing role (property experience advantageous)
- Experience using CRM systems (Reapit preferred but not essential)
- Strong IT skills, including Microsoft Office
- Excellent organisational skills with strong attention to detail

Additional Requirements
- Full UK driving licence preferred (occasional travel to Stratford-upon-Avon office)
Package & Benefits
- £25,000 – £30,000 basic salary (dependent on experience)
- Performance-related bonus
- 20 days holiday + 1 additional day per year of service (up to 25 days)
