Purpose of Role:
Blink Brow Bar is looking for an Operations Assistant to join our busy head office team in London. Working with the Head of Operations, you will support the Operations Team to deliver operational excellence for our 15 retail stores. Working in a fast-paced beauty-retail environment, this role is a great opportunity for those that want to further develop their skills, gain hands-on experience in beauty retail and/or operations, and grow within a dynamic beauty brand.
The role requires a hands-on, self-motivated individual who has a passion for operational excellence. You will be a friendly, warm and approachable person, who is enthusiastic about helping people and motivated by delivering high-quality results. must an organised record keeper with an eye for detail and curious, investigative spirit.
The role is part-time, requiring three days per week, with time evenly split between remote working, our London office, and visits to London-based stores. We can offer either a fixed schedule or a more flexible arrangement, making this an excellent opportunity for someone seeking to balance work alongside study or home commitments.
Responsibilities:
Administration Support
- Provide day-to-day administrative support for the Operations Department.
- Act as liaison with external IT support, logging issues, tracking resolutions, and maintaining IT records.
- Maintain and manage store treatments licences, renewals, and compliance records.
- Support internal systems and platforms (e.g. Booking System) maintaining ensuring data accuracy and usability.
- Assist in the preparation of presentations, reports, and internal communications.
- Finance-related administrative duties, such as raising Pos, budget tracking and credit card reconciliations.
- Retail procurement, sourcing and purchasing equipment for stores.
- Create, update, and maintain operational guidelines and process documentation.
- Manage internal logs, trackers, databases with a high level of accuracy.
Retail Support
- Support the Head of Operations in planning and rolling out retail operational initiatives.
- Coordinate training logistics, materials, and scheduling for retail teams.
- Liaise with contractors and external partners, ensuring work is scheduled, tracked, and completed to the required standard.
- Assist with store audits, compliance checks, and reporting of finding.
- Monitor and follow up on action items arising from operational reviews or audits.
- Provide operational support for store openings, changes, or improvements.
- Support key operational tasks as needed.
Store Visits, Compliance & Maintenance
- Conduct regular store visits to assess operational standards and overall store condition.
- Monitor and support compliance with health & safety, escalating risks where required
- Review store environment standards, including cleanliness, organisation, and customer-facing presentation.
- Identify and report maintenance issues, coordinating with contractors to ensure timely resolution.
- Provide feedback and recommendations to improve store operations, safety, and environment.
- Observe in store teams, identifying and escalating any training needs to the Head of Operations.
Ad-Hoc Support
- Provide flexible support on operational projects and business priorities as required.
- Assist the wider operations team with urgent or time-sensitive tasks.
- Providing holiday cover for Customer Services or Logistics when needed.
