Job Summary
We are looking for a well-organised, confident and reliable Office Administrator to support the day-to-day running of the office. The role will involve handling customer calls and enquiries, managing invoices, maintaining accurate records, organising documentation, and providing general administrative support.
A strong customer service manner is essential, as you will be dealing with customers of all types and must be able to communicate professionally, confidently and patiently. You will also be responsible for keeping invoices and important documents organised and up to date, while working closely with the accountant to ensure financial records and paperwork are accurate and provided when needed.
Working Hours
- Monday to Friday
- Normal working hours: 9:00am to 3:00pm
- 30 hours per week
- Working hours may vary depending on the requirements of the job, with occasional changes to start or finish times where necessary.

Responsibilities
- Handle incoming calls and deal with customer enquiries professionally.
- Communicate confidently with customers, suppliers and other contacts.
- Prepare, send and manage customer invoices.
- Keep invoices, financial records and other documentation organised and up to date.
- Work closely with the accountant and provide relevant invoices, records and paperwork.
- Maintain digital and physical filing systems.
- Carry out data entry and general administrative tasks.
- Manage emails, appointments and office correspondence.
- Assist with ordering office supplies and general office organisation.
- Use Microsoft Office, Google Workspace and other relevant software.
- Maintain a professional and welcoming office environment.
Qualifications
- Very strong customer service and communication skills are essential.
- Confident speaking to and dealing with different types of customers.
- Good organisational and multitasking skills.
- Strong attention to detail, particularly when handling invoices and documentation.
- Good computer skills and willingness to learn new systems.
- Professional telephone manner.
- Previous office or administrative experience is beneficial but not essential.
Training will be provided for the administrative, invoicing and accounting processes. However, the ability to communicate confidently with customers and provide excellent customer service is essential from the start.
Pay: Up to £12.71 per hour
