The Vaccination Support Officer provides operational support to the delivery of NHS vaccination programmes by coordinating vaccine supply, supporting the Central Booking Call Centre, and producing high-quality data analysis to inform operational and strategic decision-making.
The post holder will ensure that vaccine stock is effectively managed, vaccination appointments are booked efficiently, patient enquiries are handled professionally, and performance data is accurately collected, analysed and reported. Working closely with clinical teams, GP practices, pharmacies, community providers, NHS England and other stakeholders, the role contributes to achieving national immunisation targets and ensuring patients receive timely access to vaccination services.

Responsibilities
Monitor vaccine stock levels across vaccination sites and ensure adequate supply is maintained.
· Process vaccine orders in accordance with national guidance and local Standard Operating Procedures.
· Monitor vaccine deliveries and investigate discrepancies with suppliers.
· Maintain accurate stock records using electronic inventory systems.
· Coordinate redistribution of vaccine stock to minimise wastage.
· Monitor vaccine expiry dates and ensure stock rotation.
· Ensure compliance with vaccine cold chain requirements and report breaches immediately.
· Produce stock reports and support forecasting of vaccine demand during seasonal and outbreak vaccination programmes.
· Liaise with pharmacy departments, logistics providers and vaccination sites regarding vaccine availability.
Book, amend and cancel appointments using NHS booking systems and spreadsheets for housebound patients.
· Respond to patient enquiries regarding eligibility, clinic locations and appointment availability.
· Support vulnerable patients requiring additional assistance to access vaccination services.
· Escalate clinical queries appropriately to registered healthcare professionals.
· Ensure patient information is accurately recorded.
· Manage high call volumes whilst maintaining excellent customer service.
· Support outbound calling campaigns for vaccination recalls and follow-up appointments.
Collect, validate and analyse vaccination activity data.
· Produce daily, weekly and monthly performance reports.
· Develop dashboards using Microsoft Excel, Power BI or equivalent reporting tools.
· Analyse vaccine uptake, appointment utilisation, DNA (Did Not Attend) rates, stock usage and vaccine wastage.
· Identify trends, risks and opportunities for service improvement.
· Support national and local reporting requirements.
· Ensure high standards of data quality across all vaccination systems.
Experience
- Experience working in a busy office environment, including telephone answering duties
- Prior experience in community outreach or health education initiatives will be advantageous.
- Strong knowledge of medical terminology relevant to vaccinations and immunization protocols.
- Competent in Microsoft Excel, Word, Outlook and Teams
- Excellent communication skills with the ability to explain complex health information clearly and confidently.
- Demonstrated ability to engage with diverse populations
- Working knowledge of hospital systems.
- Ability to work collaboratively within a team environment while maintaining attention to detail and professionalism.
