Job Purpose
This is an exciting role for someone who enjoys creating efficient systems, improving processes and ensuring information is accurate, timely and easy to use. You'll play a key role in supporting the administration of our commissioned services by coordinating financial processes, monitoring operational data and helping colleagues manage workloads effectively.
Initially, you'll work across our Connect to Work and Butterflies Day Nursery projects, taking responsibility for areas such as raising invoices, processing partner payments, monitoring caseloads and maintaining accurate financial and operational records. Alongside these responsibilities, you'll identify opportunities to improve systems and introduce more efficient ways of working.
As the role develops, you'll have the opportunity to shape processes across other areas of the organisation, making this an ideal position for someone who enjoys continuous improvement and wants to make a real difference behind the scenes.

Key tasks and responsibilities
Contract & Financial Administration
- Raise sales invoices for commissioned contracts and services, ensuring accuracy and timely submission.
- Process payments to delivery partners in line with contractual agreements and payment schedules.
- Maintain accurate financial records relating to contract income and expenditure.
- Support reconciliation of contract finances and investigate any discrepancies.
- Liaise with finance colleagues, commissioners and delivery partners to resolve invoice or payment queries.
- Maintain contract documentation, schedules and key financial records.
Nursery Finance Administration
- Administer nursery fee invoicing and payment processes.
- Monitor outstanding balances and support timely income collection.
- Maintain accurate financial records relating to nursery places, funding and payments.
- Work closely with the Nursery Manager to ensure financial information is accurate and up to date.
Performance Monitoring & Reporting
- Monitor operational caseloads and workloads across services.
- Produce regular reports and dashboards to support operational decision making.
- Ensure data held across systems is accurate, complete and compliant.
- Identify trends, risks and capacity issues, escalating concerns where appropriate.
- Support managers with performance information and operational reporting.
Systems & Process Development
- Review existing administrative processes and identify opportunities to improve efficiency.
- Develop and implement new systems, workflows and standard operating procedures.
- Support the introduction and ongoing development of digital systems and databases.
- Create guidance and documentation to ensure systems are used consistently across teams.
- Work collaboratively with colleagues to embed improvements and encourage best practice.
Business Support
- Provide administrative support to Senior Leadership where required.
- Coordinate information across multiple services to ensure consistency and accuracy.
- Assist with audits, compliance checks and information requests.
- Support service mobilisation and new projects by developing effective administrative processes.
- Undertake other duties appropriate to the role that contribute to the effective operation of Centre4.
