Job Purpose
To provide administrative and technical support to the Waste Operations and Environmental Services team through the effective management of environmental records, operational and performance data, compliance documentation and customer enquiries. The postholder will act as a key point of contact for customers, contractors and internal stakeholders, ensuring enquiries are handled professionally and efficiently while supporting the effective delivery of waste and environmental services. The role will also contribute to maintaining accurate regulatory, operational and performance records and supporting the team in meeting relevant service and compliance requirements.
- Provide day-to-day administrative and technical support to the Waste Operations and Environmental Services team.
- Maintain accurate and up-to-date environmental, operational, compliance and performance records in accordance with established procedures.
- Collect, input, maintain and validate waste and environmental service data, identifying discrepancies and supporting timely resolution of data quality issues.
- Assist with the preparation of performance information, statistics, reports and monitoring returns for internal management and relevant external stakeholders.
- Maintain compliance documentation, records and evidence to support regulatory, operational and audit requirements.
- Act as a first point of contact for customer enquiries relating to waste and environmental services, providing accurate information and ensuring enquiries are dealt with professionally and within agreed timescales.
- Log, monitor and coordinate customer enquiries, complaints and service requests, escalating complex or recurring issues to the appropriate officer.
- Liaise with internal teams, contractors, service providers and other stakeholders to obtain information, resolve issues and support effective service delivery.
- Support the administration and monitoring of waste and environmental service contracts, including the recording of performance information and relevant operational issues.
- Assist with inspections, compliance monitoring and operational checks where required, maintaining appropriate records and escalating potential issues.
- Support the preparation of correspondence, reports, presentations, spreadsheets and other documentation relating to waste and environmental services.
- Assist with the maintenance of databases, systems and electronic filing arrangements, ensuring information is accurate, accessible and appropriately managed.
- Monitor relevant deadlines and contribute to the timely completion of statutory, regulatory and operational returns.
- Support continuous improvement by identifying opportunities to improve administrative processes, data quality, customer service and environmental service reporting.
- Ensure all duties are undertaken in accordance with relevant legislation, Council policies, procedures, health and safety requirements and environmental standards.
- Experience of providing administrative, technical or operational support within a local authority, public sector, environmental services, waste management or similar environment.
- Experience of maintaining accurate records, databases and service information, with strong attention to detail.
- Experience of handling customer enquiries and providing professional and effective customer service.
- Ability to collect, analyse and present basic operational, environmental or performance information.
- Good IT skills, including experience using Microsoft Office applications such as Excel, Word and Outlook.
- Ability to work accurately with data and identify inconsistencies, errors or missing information.
- Good written and verbal communication skills, with the ability to communicate effectively with customers, colleagues, contractors and other stakeholders.
- Ability to organise and prioritise workloads, manage deadlines and work effectively within established procedures.
- Understanding of the importance of regulatory compliance, confidentiality, data quality and accurate record keeping.
- Ability to work collaboratively as part of a team while also managing assigned tasks independently.
- A proactive and customer-focused approach, with the confidence to escalate issues appropriately and seek solutions to service-related problems.
