The role
We are looking for an Operations & Administration Executive to keep the day-to-day running of the business organised and efficient. This is a broad, hands-on role at the centre of a small and fast-moving company: you will support project administration across our funded programmes, manage the office and supplier relationships, and provide administrative support to the leadership team. It suits someone who is highly organised, comfortable working independently, and happy to move between finance paperwork, programme documentation and general office coordination in the same day.
Key responsibilities
Coordinate day-to-day office operations, including facilities, equipment, supplies and visitor arrangements
Provide administrative support to funded programmes maintaining document registers, formatting deliverables, tracking milestones and preparing submission packs for ESA, UKSA and Horizon Europe
Process purchase orders, supplier invoices, expense claims and timesheets, and liaise with our accountants on routine bookkeeping matters
Maintain accurate company records and filing systems, including contracts, insurance, certifications and statutory documentation
Arrange meetings, reviews and international travel for the team, including agendas, minutes and follow-up actions
Support recruitment and onboarding administration, and maintain HR records in line with GDPR
Manage relationships with suppliers, landlords and service providers, and support procurement activity
Assist with quality and compliance administration, including document control and audit preparation
Essential requirements
At least one year experience in an operations, administration, office management or business support role.
Excellent written and spoken English, with a professional standard of business correspondence
Strong organisational skills and the ability to manage several competing deadlines without close supervision
Confident with Microsoft 365 (Outlook, Word, Excel, SharePoint, Teams)
High level of accuracy and attention to detail in documentation and record keeping
Discretion in handling confidential company, commercial and personnel information
