Administrative Assistant (Part-Time, Hybrid)
Location: Hybrid – Remote with occasional work at our therapy clinic in Knightsbridge, London
Hours: Approximately 10 hours per week (flexible working hours)
About Us
Children's Speech & Language Therapy London is a growing independent paediatric speech and language therapy practice providing high-quality assessment and therapy services to children, families, schools across London. We are looking for a proactive, organised and friendly Administrative Assistant to support the smooth day-to-day running of our busy practice.
This is an excellent opportunity for someone who enjoys working independently, has exceptional organisational skills, and takes pride in delivering excellent customer service.
The Role
This is a hybrid position. The majority of the work will be completed remotely, with occasional attendance at our therapy clinic in Knightsbridge when required.
The role is approximately 10 hours per week, to be completed in blocks of 2 hours a day between 1-6 pm.
Key Responsibilities
- Managing emails and responding to enquiries from parents, schools and professionals.
- Booking, rescheduling and confirming appointments.
- Managing therapists' diaries and calendars.
- Processing invoices and recording payments.
- Maintaining accurate client records.
- Preparing and sending appointment confirmations, forms and information packs.
- Liaising professionally with families, schools, Local Authorities and external professionals.
- Supporting the day-to-day administration of the practice.
- Assisting with general office administration and occasional clinic-based tasks.
Essential Requirements
- Previous experience in an administrative or office-based role.
- Excellent organisational and prioritisation skills with strong attention to detail.
- Excellent written and spoken English.
- Professional, friendly and confident communication skills.
- Strong interpersonal skills and the ability to build positive relationships with families and colleagues.
- Excellent working knowledge of Microsoft Outlook and Microsoft Excel.
- Confident using Microsoft Office and learning new software systems.
- Ability to work independently and manage multiple tasks effectively.
- Access to a reliable laptop and a suitable home working environment.
Desirable
- Experience working within healthcare, education or private practice.
- Experience managing diaries or appointment booking systems.
- Familiarity with GDPR and handling confidential information.
- DBS check
