Job Summary
We are seeking a friendly, organised and proactive Dental Receptionist / Administrator to join our busy dental practice.
This is a varied role with a particular focus on background administration, while also providing reception and front-of-house cover when required.
The successful candidate will support the smooth day-to-day running of the practice through a combination of patient-facing duties and wider practice administration. You will need to be highly organised, confident managing multiple tasks and comfortable taking ownership of ongoing administrative responsibilities.
Previous dental experience would be advantageous, particularly for someone familiar with dental practice systems and NHS administration.
Duties and Responsibilities
Your role will include:
- Providing reception and front-of-house cover when required
- Greeting patients and ensuring a friendly and professional patient experience
- Answering incoming calls, emails and patient enquiries
- Scheduling, confirming and managing patient appointments
- Maintaining accurate patient records and updating information as required
- Processing patient payments and assisting with billing and outstanding account enquiries
- Supporting NHS administration as required
- Managing and monitoring patient enquiries, including online enquiry systems
- Managing GoCardless payments and associated administration
- Managing referral and patient waiting lists
- Supporting the management and recovery of outstanding patient debts
- Assisting with diary management to help maintain efficient and productive appointment books
- Supporting the management of patient complaints under the guidance of practice management
- Preparing and maintaining KPI reports
- Assisting with staff rotas and staff working-hour reports
- Supporting stock ordering, monitoring and budgeting
- Assisting with practice accounts and financial administration
- Supporting compliance administration and maintaining required records and documentation
- Carrying out general administrative duties including data entry, filing and record management
- Liaising with clinicians, laboratories, suppliers and other organisations as required
- Working closely with the wider dental team to ensure smooth patient journeys and effective communication
- Completing reception and administrative checklists and ongoing logs
- Following practice policies, confidentiality requirements and health and safety procedures
- Undertaking other reasonable administrative or reception duties required for the efficient running of the practice
Requirements
- Previous experience in an office, reception or administrative role is preferred
- Previous dental practice experience would be advantageous
- Experience of NHS dental administration would be particularly beneficial
- Excellent verbal and written communication skills
- Strong organisational and time-management skills
- Excellent attention to detail
- Confident using computer systems; experience with dental practice software would be advantageous
- Comfortable managing several ongoing tasks and priorities
- Able to work independently and take ownership of allocated responsibilities
- Able to work effectively as part of a busy team
- Professional, approachable and friendly when dealing with patients
- A proactive attitude and willingness to support different areas of the practice when required
