Assistant Night Duty Manager

HOURS OF WORK:
42 hours weekly. You will be scheduled to work from 8pm to 8am, and on a 4 on and 4 off rota bases. This will involve evening, bank holiday and weekend working.
ROLE OVERVIEW
You will be responsible for ensuring the smooth and efficient operation of QVSR, while maintaining an outstanding standard of service and a safe and welcoming environment for staff and residents. Your responsibilities will include maintaining vigilant access control, ensuring that all relevant cleaning standards are consistently met, and safeguarding the security and integrity of the building. You will be expected to maintain effective and professional working relationships with all QVSR staff and residents and to respond appropriately to any issues that may arise during the night. You will also be responsible for promoting and maintaining high standards of health and safety throughout the night, ensuring that any concerns, incidents, or hazards are promptly identified, addressed, and reported in accordance with organisational procedures.
MAIN DUTIES AND RESPONSIBILITIES
· To maintain strict and vigilant access control of the building throughout your shift and ensure that the front door is locked up by midnight.
· CCTV monitoring inside and around the building is crucial, this also includes the car park to ensure no unauthorised parking or access.
· Oversee the safety of the building, the residents and staff during the absence of the Night Duty Manager e.g. if the NDM is receiving restaurant deliveries or attending to an emergency in a resident’s room.
· Ensure that the reception desk is always manned and that the reception area is kept cleaned and appears welcoming at all times.
· To ensure an impeccable cleaning standard by fully completing the nightly cleaning checklist includes but not limited to sweeping, hovering and mopping the floors, dusting of surfaces and blinds, wiping tabletops, ensuring neat presentation of restaurant and of the offices etc.
· Effectively and promptly manage fire safety alarms and procedures whenever the alarm goes off.
· Be alert in monitoring and effectively operate any security/ intruder alarms whenever required.
· Record and report all incidents appropriately and alert the Night Duty Manager promptly.
· Uphold all elements of customer care and quality control are evident in every operational aspect (e.g. catering, reception, maintenance, welfare).
· Manage the cash float and ensure that SC (service charge) payments are taken correctly and registered accurately on the data base application and payment receipts are issued to resident.
· All transactions must be recorded on the bed card and cashed out at the end of the shift to Night /Day Duty Manager
· At the start and end of your shift, ensure that handover notes are checked and any actions requested are carried out promptly and effectively.
· Ensure that the reception till float is correct at the start and end of each shift, record and report any discrepancies efficiently.
· Manage and monitor the use of all QVSR Facilities, equipment and games accordingly in respective reception folder
· Receive post following the correct procedure for both residents and the business
· Be responsible for producing efficient handovers at the end of each shift.
· Ensure that all visitors (QVSR visitors, carers, residents’ visitors) sign in on the reception iPad and are issued with visitor card. Visits can only take place until 10pm. Visitors must leave the building by 10pm
· Monitor the clock-in system to ensure that staff are signed in upon arrival and monitor signing to ensure that staff only clock-in for themselves.
· Answer and forward any incoming calls or emails to relevant department ensuring that the message is clear and includes all necessary details to follow up with.
· Ensure that all maintenance issues or faults are properly reported to Night Duty Manager and recorded on the Help desk with accordance to our policy
Other Duties
· All employees are expected to comply with the Health and Safety at Work Act and to take reasonable care of their own health and safety and that of others who may be affected by their acts or omissions.
· Promote QVSR by creating positive and welcoming impression
· Assist in events preparation during the shift with setting up for functions as required by Night Duty Manager, this also including cleaning
· Provide administration support to the Night Duty Manager where needed
· Undertake, as required any other duties or ad-hoc projects as requested by the Night Duty Manager
· Ensure to undertake all assigned trainings in accordance with the role and policy.
· Follow the dress code in accordance with the organisation’s policy

Pay: £25,000.00-£40,000.00 per year
