Event Administrator
Pay: £27,000.00-£30,000.00 per year DOE
Job Description:
We are seeking a highly organized and detail-oriented Event Administrator to join our team, this is an exciting opportunity for someone with a passion for hospitality.
As an Event Administrator, you will be responsible for the planning, coordinating, and execution of a wide range of events including but not limited to, weddings, private functions, corporate events, in addition to restaurant service.
Role Requirements:
· Maintain high standards of personal presentation, following a ‘smart-casual’ dress code.
· Previous experience of events and hospitality.
· Exceptional organizational and multitasking skills with the ability to prioritise tasks effectively.
· Strong attention to detail and problem-solving abilities.
· Excellent communication and interpersonal skills.
· Ability to work well under pressure and meet deadlines.
· Adept in time management and ability to work independently as well as collaboratively.
Responsibilities-
· Responsibility for clear, effective, and timely administration and client liaison across the company Portfolio.
· Ensure all events are planned and delivered to same company standard with same the service, client care and attention to detail.
· Effective time management of all administration and tasks with the ability to prioritise on a daily basis.
· Dealing with new enquiries, new bookings, existing communications, and event planning and final details administration across all venues
· Ability to create menu proposals to company standard, sending in a timely manner with follow up administration as required.
· Supporting the organisation, planning, diarising, of client tasting sessions.
· Liaising with other departments in the planning, administration and delivery process of all and any events.
· Communicate to the wider company utilising existing CRM system and any or all administration systems already in place or otherwise.
· Control of client finances, ensuring all processes are followed whilst liaising with the accounts team to ensure all invoices are correct, up to date and paid in a timely fashion.
· Be adept across all company platforms, including but not limited to, Microsoft Office, Catersoft, and Indesign
· Assisting with collecting and checking final event paperwork produced by the administration team and adjusting accordingly. Preparing necessary requirements, including but not limited to stock, crockery, and glassware for upcoming events.
· Communication, both written and verbal to be always to a company standard when dealing with clients.
· Effectively execute administrative tasks ensuring high quality administration of all events meeting the company standard, client care and attention to detail required.
· Manage new enquiries and existing bookings in a timely and efficient manner.
· Manage a timeline in preparation for upcoming events- including the ordering and sourcing of stock, tableware and glassware with necessary vendors and suppliers. In addition to oversee event setup.
· Liaise with clients to understand their event requirements using a high standard of written and verbal communication.
· Create new menus to high company standard within a set timeframe.
· Effective organisation and planning of client taster session to ensure effective delivery.
· Collaborating with wedding venue in the planning, administration and delivery process of all events.
· Be proficient with company software platforms and communicate via CRM systems, utilising existing administration software including CaterSoft, Lightspeed, Gift-Pro, Eventbrite, InDesign and OpenTable.
· Manage the financial accounts of clients alongside an accounts team, ensuring the timely processing of invoices.
