Job Purpose
To support the planning, organisation, and delivery of events during a busy period. This role provides hands-on experience across all stages of event coordination, including liaising with attendees, participants, and suppliers. It is ideal for individuals looking to gain practical experience in events, with the opportunity to develop into a longer-term role.
Key Responsibilities
Event Planning & Coordination
- Assist in organising event logistics, schedules, and timelines
- Contact participants, attendees, and suppliers via phone and email to confirm arrangements
- Maintain accurate records of invitations, RSVPs, and communications
- Coordinate bookings for venues, catering, equipment, and other services
- Prepare event materials such as agendas, name badges, and attendee packs
Event Delivery
- Assist with event setup and pack-down, including equipment and signage
- Manage registration desks, welcome guests, and provide support during events
- Act as a point of contact for attendees and suppliers on-site
- Help ensure events run smoothly and resolve minor issues as they arise
- Monitor event schedules to ensure activities stay on track
Administration & Support
- Provide general administrative support, including data entry and document preparation
- Follow up with attendees and participants to confirm attendance
- Ensure event areas remain organised, safe, and compliant with health and safety requirements
Skills & Experience
- Strong organisational and communication skills
- Confident dealing with people over the phone, email, and face-to-face
- Ability to multitask and work in a fast-paced environment
- Proactive, reliable, and positive attitude
- Willingness to learn and take initiative
- Previous experience is desirable but not essential – full support and guidance will be provided
