Overview
We are seeking a motivated and detail-oriented Property Management Assistant to join our dynamic team in our Truro office.
A varied role, working with the property manager in order to assist with the management of their property portfolio.
Providing appropriate service wide coverage to the property management service as and when required.
Whilst the ideal candidate would be expected to work 5 days a week, between the hours of 9.00 and 17.30 there could be some flexibility on both number of hours and working hours for the right candidate and salary would be pro rata on a part time basis of the advertised amount. Our priority is getting the right candidate with the appropriate skill set/willingness to learn.
Duties
- Undertake tasks associated with the estate management software package, to include:-
- logging maintenance task & arranging contractors
- editing the system to ensure tenants details are always up to date
- Ensure tenants have relevant compliance documentation
- Produce invoices for ad hoc charges (keys etc) the information to be provided by the Property Manager
- Answering tenant queries, principally via emails and escalating where necessary, with the Property Manager
- Expense invoices - Process sales invoices into estate management software package
- Deal with requests from clients/accountants and other professionals when asked for copies of the invoices, ledgers etc;
- Produce ad hoc fee accounts
Qualifications
- Previous experience using property management software (the system we use is Released but others include AppFolio, Buildium, Entrata, and Propertyware)
- Previous experience in an administrative role, preferably within a property/surveying company
- Previous experience working with budgets would be preferable.
- Strong Microsoft office skills and the ability to adapt to working with bespoke software.
- Strong data entry skills with attention to detail and accuracy.
- Excellent communication skills, both verbal and written, with a focus on customer service.
- Ability to multitask and prioritise effectively in a fast-paced environment.
- A proactive approach to problem-solving and the ability to work independently as well as part of a team.
Pay: £27,500.00 per year
