The Role
This role is responsible for the day-to-day operation and maintenance of the sales and purchase ledger processes. You will ensure all transactions run smoothly and to deadline, following company procedures and legalities to maintain the company’s financial health.
Key Responsibilities & Deliverables
Purchase Ledger (Accounts Payable)
- Invoice Processing: Log, verify, and code a high volume of purchase invoices and credit notes, ensuring they are appropriately authorized.
- Stock Reconciliation: Use stock control software to reconcile invoices against delivery notes and purchase orders.
- Supplier Management: Conduct regular supplier statement reconciliations and resolve disputes or queries in a timely, professional manner.
- Payment Runs: Prepare and complete weekly BACS or payment runs, ensuring suppliers are paid within agreed credit terms.
- Expenses & Petty Cash: Process employee business expense returns and manage the balancing of petty cash and company credit cards.
- Laise and work closely with supply chain team to get efficient resolution of disputes and queries.
Sales Ledger (Accounts Receivable)
- Credit Control: Monitor the aged debtors list and perform initiative-taking credit control to ensure timely cash collection.
- Cash Allocation: Accurately post and allocate incoming payments (BACS, cheques) to the correct customer accounts.
- Query Resolution: Investigate customer invoice discrepancies related to pricing or quantity variances.
- Production of customer statements and ensuing they are distributed in a timely matter to maximise cash collection.

- Ensure credit limits are updated to ensure that insured limited are adhered to.
Month-End & Compliance
- Reconciliations: Ensure the purchase and sales ledgers are fully reconciled and up to date for month-end closure.
- Audit Support: Maintain accurate records and documentation to assist internal and external audit processes.
- Accruals: Assist in preparing purchase ledger and credit card accruals for the month-end accounts.
Candidate Requirements
Experience & Qualifications
- Education: Entry-level AAT qualification (Level 2+) or proven experience in a similar transactional role.
- Technical Skills: Experience with data input and bookkeeping within a fast-paced manufacturing or FMCG environment.
Core Competencies & Profile
- Accuracy: Impeccable attention to detail and a methodical approach to data entry.
- Communication: Ability to build strong working relationships with suppliers, customers, and internal departments like Engineering and Production.
- Deadline Driven: Resilient and capable of working to strict monthly and weekly deadlines.
Pay: £27,000.00-£34,000.00 per year
