Duties
- Manage front desk responsibilities including greeting visitors, answering phones with professionalism and courtesy, and directing inquiries appropriately
- Maintain organized filing systems both digitally and physically using tools like Google Workspace and Microsoft Office applications
- Perform data entry tasks accurately using software such as QuickBooks and other administrative platforms
- Coordinate appointments, meetings, and calendar schedules for team members to optimize workflow
- Prepare correspondence, reports, and presentations with strong typing skills and attention to detail
- Support bookkeeping activities by processing invoices, receipts, and expense reports in QuickBooks or similar accounting software
- Assist with supply inventory management, ordering office supplies as needed to ensure smooth operations
Experience
- Proven office experience demonstrating strong organizational skills and multitasking abilities
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry tools
- Previous administrative experience with familiarity in clerical tasks such as filing, scheduling, and document management
- Excellent phone etiquette with the ability to communicate clearly and professionally in all interactions
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
- Ability to type quickly and accurately to support efficient documentation processes
- Experience working with QuickBooks or similar financial management software is a plus
