Role
To support the Commercial Asset Manager in the effective day to day management of the portfolio, ensuring assets are maintained to a high operational standard, statutory compliance obligations are met, tenant relationships are effectively managed, and service charge expenditure is controlled and maximised efficiently.
Key Responsibilities
- Provide day to day operational support to the Commercial Asset Manager in the management of the portfolio.
- Assist in ensuring the smooth running and operational performance of all managed assets.
- Maintain accurate property records, compliance documentation and maintenance logs.
- Monitor ongoing property issues and ensure actions are progressed within agreed timescales.
- Work closely with the Asset Manager and Maintenance Manager to ensure all properties remain safe, compliant, and maintained in accordance with statutory, regulatory, and company standards.
- Monitor compliance requirements including, but not limited to:
- Fire safety
- Health & Safety regulations
- Asbestos management
- Legionella control
- Electrical testing
- Lift maintenance
- Gas safety certification
- Ensure all compliance certificates and records are maintained and renewed within required timeframes.
- Escalate any compliance risks or urgent maintenance concerns appropriately.
- Oversee and monitor Planned Preventative Maintenance (PPM) schedules across the portfolio.
- Ensure reactive and preventative maintenance works are logged, monitored and completed.
- Act as a primary point of contact for tenant maintenance requests and repairs.
- Coordinate and manage reactive maintenance works, ensuring timely communication and resolution of issues.
- Work collaboratively with the Asset Manager and in-house maintenance teams to address tenant concerns professionally and efficiently.
- Monitor repair progress and ensure tenants are kept updated throughout the process.
- Assist in ensuring service charge budgets are effectively managed and expenditure is controlled in line with approved budgets.
- Work closely with the Finance Department and Asset Manager in:
- Reconciling service charge accounts
- Reviewing expenditure
- Preparing annual service charge budgets
- Monitoring variances and forecasting costs
- Assist with tenant service charge queries where required.
- Liaise with external managing agents where required.
Skills & Experience
- Previous experience within commercial property management, facilities management, or asset management desirable.
- Good understanding of property maintenance and statutory compliance requirements.
- Strong organisational and administrative skills with the ability to manage multiple priorities.
- Excellent communication and stakeholder management skills.
- Ability to work collaboratively across operational, maintenance, and finance teams.
- Proficient in Microsoft Office and property management systems.
Pay: £37,500.00-£45,000.00 per year
