Job Title: Sales & Business Operations Coordinator
Location: Pinhoe, Exeter (Free On-Site Parking)
Salary: £27,000 FTE (£18,000 actual pro-rata for 25 hours/week)
Hours: Fixed Contract (maternity cover) until September 2027 | 25 hours per week (Ideally spread across 5 days, flexible daily timings).

About the Role
This is a fixed term contract until September 2027, to cover maternity leave.
You will be our ‘Customer Champion’, making sure that the customer gets the best possible experience with us. This means keeping everyone in the team accountable for delivering for the customer at each stage of their journey with us.
As the operational heart of our business, you will connect our customers, suppliers, office staff, and engineering team. This role suits a positive, organised, and proactive individual who enjoys managing the customer journey, keeping diaries on track, and ensuring the office runs seamlessly every day.

Key Responsibilities
The customer bit:
- Provide administrative support across the business, including both our sales and install teams.
- Act as the first point of contact for any new sales enquiries, taking details and adding them to the CRM as a new opportunity to be passed to a member of the sales team.
- Ensure a smooth customer journey from enquiry through to post-installation contact.
- Book sales and service visits for engineers and sales staff.
- Following up on quotations sent out, following the process in place.
The operations bit:
- Optimise the CRM software to work for everyone in the business, using the automated features to flag when customer contact is required.
- Working with the Finance Director to assist with the preparation of management reports.
- Invoicing customers for deposits and work completed, as well as handling customer paperwork.
- Assist with the implementation of a marketing strategy, ensuring time is allocated in the diary for marketing content creation.
- Give support to the Managing Director on administrative and business matters.
- Generate sales reports for use across the business.
- Have an overview of the workload of the engineers and sales team to report back to the Directors.
Your qualities
- Previous experience in business administration, operations, or customer coordination.
- Excellent communication skills with a warm, professional telephone manner.
- Strong organisational skills and close attention to detail.
- Good tech confidence (experience using CRM systems and business software).
- A motivated, team-oriented attitude with the ability to multitask.
