Job Title – Service Administrator
We are currently looking for an experienced Service Administrator with experience covering loading systems and industrial door products. This role will be based out of our Loading Systems Southeast office, located in St. Ives, Cambridgeshire.
The purpose of the role is to support the efficient coordination of service operations by managing engineer schedules, customer communication, and administrative processes. The role ensures accurate record keeping, timely job progression, and high standards of customer service, contributing to effective service delivery and overall operational performance within the business.
Main Duties:
- Engineer Scheduling & Job Management: Coordinate planned preventative maintenance (PPM) and reactive works, allocating daily tasks to engineers and updating the internal maintenance system accordingly.
- Service Contract Coordination: Schedule and manage new service contracts, ensuring accurate setup and timely activation on company systems.
- Customer Communication: Deliver a professional and courteous service to clients via telephone and email, providing regular updates on job progress and completion.
- Quotation & Reporting: Prepare and issue quotations, service reports, and follow-up correspondence promptly and accurately.
- Query Resolution: Liaise with engineers and internal teams to handle customer queries efficiently and ensure swift resolution.
- Documentation & Record Keeping: Process engineers’ paperwork, verify job details, and maintain accurate filing and data entry for all administrative records.
- Administrative Support: Provide day-to-day assistance to management and other business units, ensuring seamless office operations and timely completion of assigned tasks.
- Internal Collaboration: Support internal communications, help coordinate workflow across departments, and undertake any additional duties as directed by management.
Person specification:
- Administrative Experience: Proven background in administration, ideally within engineering, construction, or service-based industries.
- Organisation & Time Management: Excellent ability to plan, prioritise, and manage multiple tasks effectively to meet deadlines.
- Communication Skills: Strong verbal and written communication, with confidence in liaising across all levels of the business.
- IT Proficiency: Confident user of Microsoft Office applications (Excel, Word, Outlook) and familiar with service management or job scheduling software.
- Qualifications: NVQ Level 2 or above in Business Administration or Customer Service preferred.
- Industry Knowledge: Awareness of loading systems, industrial doors, or mechanical engineering environments advantageous.
- Proactive & Self-Motivated: Able to work independently, taking initiative to complete tasks efficiently and accurately.
- Calm & Solutions-Focused: Maintains composure under pressure while identifying practical solutions to challenges.
- Attention to Detail: Demonstrates precision, accuracy, and consistency in all administrative work.
- Team-Oriented & Professional: Works collaboratively with engineers and management while maintaining a professional and customer-focused attitude at all times.
