Purchasing & Trade Compliance Administrator
Job Summary
To provide efficient administrative support to the purchasing function, ensuring stock is replenished in a timely and cost-effective manner while maintaining compliance with customs and trade requirements. The role is responsible for liaising with suppliers, producing suggested purchase orders, processing purchasing documentation, and completing Trader Support Service (TSS) declarations for the movement of goods into Northern Ireland.
Key Responsibilities
Purchasing Administration;
* Produce suggested purchase orders based on stock levels, sales demand and agreed purchasing parameters.
* Raise and process purchase orders accurately and in a timely manner.
* Liaise with suppliers regarding pricing, availability, lead times, delivery schedules and order queries.
* Monitor outstanding purchase orders and proactively follow up delayed deliveries.
* Maintain accurate purchasing records, supplier information and product data within the company's accounting system.
* Support stock planning by highlighting shortages, supply risks and potential overstock situations.
* Assist with supplier performance monitoring and reporting.
* Resolve purchasing and delivery queries promptly alongside the Warehouse Manager.
Trade Compliance;
* Prepare and submit Trader Support Service (TSS) declarations for the movement of goods into Northern Ireland.
* Ensure customs declarations are accurate, complete and submitted within required timescales.
* Liaise with suppliers, carriers and customs agents to obtain the information required for declarations.
* Monitor changes to customs and trade regulations and ensure company procedures remain compliant.
* Maintain records of customs documentation in accordance with statutory requirements.
Essential Criteria
* Previous experience in a purchasing, procurement or administrative role.
* Excellent organisational skills with the ability to manage multiple priorities.
* High level of accuracy and attention to detail.
* Strong communication skills with the confidence to deal professionally with suppliers and internal colleagues.
* Good IT skills, including Microsoft Excel and Microsoft Office.
* Ability to work independently and as part of a team.
Desirable Criteria
* Experience using accounting software.
* Experience completing Trader Support Service (TSS) declarations.
* Knowledge of customs procedures relating to the movement of goods between Great Britain and Northern Ireland.
* Some understanding of stock control and supply chain operations.
