The Vehicle Planner Administrator is responsible for coordinating and administering the efficient movement, allocation, and scheduling of vehicles. The role involves maintaining accurate records, communicating with drivers, customers, suppliers, and internal teams, and ensuring vehicle movements are planned efficiently and delivered on time.
Key Responsibilities
- Plan and coordinate daily vehicle movements and deliveries.
- Allocate vehicles and drivers according to operational requirements.
- Maintain accurate vehicle, driver, delivery, and scheduling records.
- Monitor vehicle movements and provide updates on delivery progress.
- Liaise with drivers, customers, suppliers, transport companies, and internal departments.
- Prepare and process transport documentation, delivery notes, and other relevant paperwork.
- Update planning and fleet management systems accurately and promptly.
- Respond to queries and resolve scheduling or delivery issues.
- Assist with route planning and optimise vehicle utilisation where possible.
- Monitor vehicle availability, servicing requirements, and operational constraints.
- Ensure relevant transport and company procedures are followed.
- Produce reports and provide administrative support to the transport/planning team.
- Escalate delays, breakdowns, incidents, or other operational issues promptly.
- Support general office and administrative duties within the transport department.
Skills and Experience
- Previous experience in administration, transport, logistics, fleet management, or vehicle planning is desirable.
- Strong organisational and time-management skills.
- Excellent communication and interpersonal skills.
- Good attention to detail and accuracy.
- Ability to prioritise tasks and work effectively under pressure.
- Confident using Microsoft Office, particularly Excel and Outlook.
- Ability to learn and use transport, fleet, or scheduling software.
- Strong problem-solving skills and a practical approach to changing circumstances.
- Ability to work independently while contributing effectively to a team.
Pay: £21,175.00-£26,000.00 per year
