Vincent Reed Ltd is a highly respected heritage building conservation consultancy with over 35 years of experience working on some of the UK's most significant historic buildings, including royal palaces, national landmarks, and prestigious heritage sites.
We are seeking a highly experienced, organised and proactive Operations & Business Administrator to become a key member of our team. This is a senior position requiring an individual who can take ownership, work independently, manage competing priorities, and act as the operational backbone of a growing business.
Key Responsibilities
- Managing invoicing, payment chasing, payroll, and financial administration
- Coordinating operational activities across our UK team and remote support staff
- Managing diaries, emails, meetings, and administrative priorities for the Managing Director
- Supporting project coordination, business development activities, and client communications
- Maintaining systems, processes, and project management platforms
- Ensuring tasks are completed efficiently
About You
You will have:
- A minimum of 10 years' experience in business administration, office management, operations, executive assistance, or a similar role
- Strong experience managing financial administration, including invoicing, payroll, and credit control
- Experience supporting senior leaders, directors, or business owners
- Excellent organisational and project coordination skills
- The confidence to work independently and take ownership of tasks
- Strong communication skills and attention to detail
- Experience using Google Workspace, Xero/QuickBooks, project management systems, and modern productivity tools
