XDP is the largest privately owned freight carrier in the UK and has built a reputation for reliability and quality of service over the last 25 years. What sets XDP aside from other delivery companies is the fact that we operate our own logistics network of over 35 UK overnight parcel depots & 15 2-man depots. Our 9-acre central distribution site is well positioned in the heart of the Midlands, operating a manual sortation system with a capacity to handle in excess of 40,000 parcels per night.
We are looking to employ a Depot Manager to work at our Bridgend depot based in the South West of England. The role of the Depot Manager is to support the Management Team with the day-to-day operation of the warehouse, responsible for a group of operations ensuring an efficient warehouse operation in achieving targets.
Our mission is to provide a premium service to our customers by controlling the quality of operations including the following:
Deliverables:
Set, Train, assess & record all reporting lines progress, role objectives, targets and measure their effectiveness in XDP required formats.
Manage time and attendance records for reporting lines within area of responsibility.
Undertake performance management / performance improvement actions, investigation meetings & support with disciplinary proceedings, where needed of all direct reports
Upholding company policies, pillars, values & behaviours while always leading by example.
Ensure all direct reports are trained to understand and comply with health & safety regulations whilst working safely to protect themselves and others in the depot / warehouse environment.
Manage & plan resource in line with changing business activity levels ensuring costs are monitored within budget controls
Challenge and review the depot operation to ensure the efficient and effective utilisation of available resources
Share and celebrate depot personnel key achievements through XDP newsletter for recognition / reward
Hold regular depots & driver meetings to collaborate for success.
Support in the sourcing & onboarding of new contractors
Ensure all organisational and statutory obligations are fulfilled and for investigating any area of non-compliance, instigating corrective action to ensure infringements are minimised and lessons learned are implemented to prevent re-occurrence
Ensure operational KPIs are achieved and exceeded such that service performance builds a service differentiator in customer reviews.
Ensure the smooth running of daily depot operation through planning, control, monitoring, and performance.
Manage & monitor daily operation quality, sustaining high levels of Right First-Time actions within functions of depot fulfilment to exceed operational & customer demands.
Manage & monitor the effectiveness of operational processes & drive continuous improvement.
Manage, monitor & control all depot processes are up to date daily, formalise recovery plans were required to maintain customer impacting services are delivered in line with business offering & timescales.
Manage & monitor depots productivity, timeliness & activities, ensure XDP systems are up to date daily.
Through correct actions resolve & own all depot related issues, escalations, complaints, or problems which occur on a day-to-day basis through to root cause to eliminate instances of reoccurrence
Produce, monitor & present depot reports, statistics & updates as and when required, in various formats, primarily Microsoft Excel (Daily, Weekly, Monthly, Adhoc)
Attend meetings and process work out / workshops as required & invited.
Monitor depot vehicles, machinery, and equipment is well maintained and fit for purpose whilst retaining & updating supporting records
Support depot revenue growth potential, through engagement in Driver & Depot lead scheme.
Undertake effective and constructive Driver Briefings at start and end of day to capture all non, Right First-Time delivery / collection instances of failure and address with immediate corrective actions to rectify.
Accountable for same day Proof of Delivery capture & XDP system recording.
Ensure regional depots operate a clean and tidy working environment to aid operational efficiency.
Ensure operational KPIs are achieved and exceeded such that service performance builds a service differentiator in customer Trustpilot reviews, correct within 24 hours of notification any depot / driver related negative reviews & driver interview requests.
Communicate effectively through all channels on a regular basis to make them aware of priorities, targets, and operational requirements.
Responsible for the management, control & security of all Depot related “functions” to be completed and kept up to date daily, inclusive of mis-routed items, full bay scans ensuring that all depot related screens within XDP systems are accurate and up to date, together with ensuring all exceptions, parts, discrepts, booking in requests & errors are actioned daily.
Ensure all depot collection services are arranged and completed on time in full on days requested, with full same day collection scanning being recorded.
Investigate as requested all depot related / driver impacting service failure instances, loss, damage & property damage to ensure claims are minimised
Ensure depot is resourced with available experienced personnel to support with all inbound enquiries by phone / email during the opening hours of Head Office customer service team – 8:00am – 6:00pm
Manage the daily performance of existing contractors / drivers by monitoring the progress of routes allocated by utilising live scanner locations detail within XDP system, discussing all instances of failure with driver / contractor, and implementing immediate corrective actions with same day resolution.
Flexible with working hours / able to cover every shift at short notice.
Attend customer meetings when required
Maintain a customer focused environment within the depot operation

Using your planning experience you will where required control driver resource, organise and manage the work for the depot transport team whilst ensuring we are delivering a best-in-class customer service.
Monitor the operation to ensure all organisational and statutory obligations are fulfilled, investigating any area of non-compliance to ensure infringements are minimised.
Demonstrate XDP commitment to a positive health and safety culture
Ensure XDP health and safety policy and procedures are followed
Ensure all accident and near misses are fully documented & investigated.
Ensure all XDP health and safety procedures are followed, including using PPE as required and equipment in line with training.
Ensure that all lifting and manoeuvring of products and materials is carried out in accordance with manual handling procedures.
Ensure hazardous materials are collected, stored, quarantined, reported in accordance with requirements.
Hold monthly team meetings & share Depot performance feedback
Ensure all vehicle services are carried out on time and year planner keep up to date.
Management of all compliance functions within the depot.
Being Health and Safety aware you will ensure that all aspects of Health & Safety are adhered to, including H&S induction and training, operating procedures, near miss reporting and emergency procedures. You will conduct investigation and accident investigations in co-operation with government agencies to determine causes of transportation accidents and improve safety procedures. You will monitor daily driver hours including working time directive.
