Hire Desk Administrator
Hours: Full Time
We are looking for a highly organised and proactive Hire Desk Administrator to join our busy plant hire operation.
This is an office-based role supporting the Hire Manager with the day-to-day administration and coordination of our hire fleet. The position would suit someone who enjoys working with systems, paperwork, customer communication, and keeping multiple tasks organised and up to date.
The successful candidate must be confident with administration, able to learn new systems quickly, and capable of managing a high volume of work accurately.
Key Responsibilities
- Processing plant hire requests, off-hires and exchanges.
- Updating and maintaining hire records using our hire management system.
- Managing live hire and closed hire records.
- Coordinating deliveries and collections with customers, drivers and suppliers.
- Raising hire contracts and ensuring all documentation is accurate and complete.
- Managing fleet records, compliance documentation and service schedules.
- Logging breakdowns and arranging repairs with service providers.
- Monitoring plant availability and utilisation.
- Assisting with weekly stock checks and fleet administration.
- Supporting invoicing queries and hire-related administration.
- Providing administrative support to the Hire Manager and wider team.
Essential Skills & Experience
- Strong administration and organisational skills.
- Excellent attention to detail.
- Confident using computer systems and Microsoft Office.
- Ability to prioritise and manage multiple tasks simultaneously.
- Strong communication skills, both written and verbal.
- Ability to work accurately in a busy environment.
- A positive attitude and willingness to learn.
Desirable
- Previous experience within plant hire, transport, logistics, or a similar industry.
- Experience using Syrinx or other hire management software.
Important Information
This role involves a significant amount of administration and system-based work. We are looking for someone who enjoys organised, process-driven work and can quickly become confident managing a busy workload. The successful candidate will work closely with the Hire Manager and will play a key role in ensuring the smooth running of the hire desk.

Pay: £29,000.00-£33,000.00 per year
