Somerset Chamber of Commerce is one of only 51 Chambers nationally that are accredited by the British Chambers of Commerce (BCC). Somerset Chamber is the business representative organisation for Somerset. Being a membership organisation, the Chamber is funded by business, for business, and has a key role with championing business in Somerset but also supporting the vibrant community of chamber members to connect, influence and grow.

A key aspect of the Chamber’s activity is the delivery of events for Somerset businesses. The Chamber has a vibrant and impactful events programme. We are seeking an organised and proactive events administrator to join our team.
Role Overview
The role of Events Administrator is ideal for a highly organised, proactive individual with strong administration experience. You will play a key role in delivering high‑quality events for our members, partners, and wider community. As our Events Administrator, you’ll support the full lifecycle of our events working closely with our Events and Commercial Partnerships Manager. From venue booking and delegate communications to on‑the‑day coordination and post‑event follow‑up. You’ll be a key point of contact for delegates, ensuring every interaction feels professional, warm, and efficient.

Key Responsibilities
- Coordinate venues - Liaise with venues, confirm availability, negotiate details, and secure bookings for Chamber events.
- Prepare delegate lists - Maintain accurate attendee information for each event.
- Draft event agendas - Produce clear, professional agendas in collaboration with the Events Manager.
- Manage the Events inbox - Respond promptly and professionally to enquiries.
- Send pre‑event communications - Issue joining instructions, reminders, and updates to event attendees.
- Send post‑event communications - Share follow‑up messages, surveys to gather feedback, and post-event content.
- Update the CRM – Monitor event listings, ensure ticketing processes run smoothly and ensure data accuracy.
- Process payments - Follow up with delegates who have outstanding payments and support attendees with payment queries.
- Produce slide decks - Create and format presentation materials.
- Attendance at some SCoC events - Support the Events Manager with on‑site delivery where required.
- Upload event photos – Upload event photos to the online gallery after each event.
- Post on social media - Share post‑event updates and photo gallery links.
- Finance - Manage invoices coming in from suppliers, raise invoices and credit notes.
Person Specification
Essential
· Administration experience within a commercial environment.
· Excellent written and verbal communication skills.
· High level of accuracy and attention to detail
· Computer competency including Microsoft Office Suite of products (Word, Excel, Powerpoint) and CRM systems.
· Excellent planning skills with attention to detail.
· Flexible approach while working alone and as a committed player team.
· Professional and confident when dealing with delegates, sponsors, and partners
· Flexible approach to working times, as out of hours working will occasionally be requested.
· Access to own transport to support attending events around the county.
· Ability to multi task and meet deadlines.
· Ability to represent the Somerset Chamber professionally at all times.
Desirable
· Events administration experience, ideally within a membership organisation.
· Experience of web editing.
· Familiarity of using social media platforms for business use.
Terms & Conditions
· Working Hours – Permanent, Full time 37.5 hours per week, Monday to Friday (Part time applications will be considered)
· Working hours will vary depending on event times, including breakfast events and evening dinner events (Time Off in Lieu provided)
· Working arrangements - Flexible and hybrid working (minimum 2 days in the Taunton office which are a Monday and Tuesday, remainder of the week working from home or on-site at Chamber events)
· Travelling Expenses – 55p per mile (from Taunton office for business mileage)
· Holiday – 25 days per year (plus bank holidays) increasing with length of service
· Benefits – Private medical insurance, free car parking outside the office, pension, well-being support and benefits access to GP and counselling services, hybrid working
· Annual salary – £27,000 per annum
