Over the past few years, we've built a reputation as one of London's leading independent fitness businesses, working alongside some of the biggest names in the fitness and lifestyle industry, including Gymshark, EvolveYou, Huel and Red Bull.
As our business continues to grow, we're establishing a dedicated Head Office support function in Poole.
This is an exciting opportunity to become the first member of a brand-new Head Office team and help build the operational foundations that support our clubs, coaches and members every day.
Working closely with our founders and established London Head Office team, you'll play a central role in the continued growth of the business. You'll have genuine ownership from day one and the opportunity to help shape how our new Head Office function develops over the coming years.

THE ROLE
As our Head Office based Operations & Administration Assistant, you'll become the operational hub of the business, supporting multiple departments and ensuring the day-to-day administration of the organisation runs efficiently.
You'll be trusted with real responsibility, working across member administration, procurement, personal training operations, finance administration and general business support.
No two days will look exactly the same, and we're looking for someone who enjoys that variety.
YOUR RESPONSIBILITIES
- CRM & Member Administration
- Process new member enquiries and maintain accurate CRM records.
- Update existing member information.
- Support the London Head Office team with day-to-day customer administration.
- Maintain accurate data across multiple systems.
PERSONAL TRAINING OPERATIONS
- Provide administrative support for our Personal Training department.
- Coordinate and schedule Personal Training sessions for the week ahead, particularly over weekends.
- Act as the primary administrative contact for PT clients requiring appointment changes.
- Support coaches with client administration.
- Assist in coordinating responses to client service enquiries relating to nutrition and programming.
PROCUREMENT & CLUB SUPPORT
- Receive stock requests from our London clubs.
- Process supplier orders.
- Coordinate deliveries to club locations.
- Maintain procurement records and purchasing information.
- Help ensure our clubs remain fully stocked and operational.
FINANCE ADMINISTRATION
- Prepare draft invoices.
- Track company expenditure.
- Assist with payment monitoring.
- Support basic financial administration.
GENERAL HEAD OFFICE SUPPORT
- Provide administrative support wherever required across the business.
- Assist with operational projects.
- Help improve systems and processes as the company continues to grow.
ABOUT YOU
This role will suit someone who is naturally self-motivated, highly organised and enjoys taking ownership of their work.
As the first member of our new Poole Head Office team, you'll initially be working independently on a day-to-day basis while remaining closely connected with our established management and Head Office teams in London.
You'll have regular communication and support from colleagues, but you'll also need to be comfortable managing your own workload, solving problems and maintaining exceptionally high standards without constant supervision.
We're looking for someone who enjoys creating structure, improving processes and making the lives of others easier. You should be proactive and resourceful.

ESSENTIAL REQUIREMENTS
- Previous administrative experience within a professional office environment.
- Excellent Microsoft Excel skills.
- Strong Microsoft Outlook skills.
- Confident using WhatsApp (we use WhatsApp for Business with our clients)
- Confidence learning and using new software systems, including CRM platforms.
- Outstanding organisational and time management skills.
- Excellent attention to detail.
- Strong written and verbal communication skills.
- Highly self-motivated with the ability to work independently.
- Professional, reliable and trustworthy.
- Comfortable managing multiple priorities simultaneously.
- Commitment to working Saturday and Sunday each week.
DESIRABLE EXPERIENCE
- Experience using CRM systems.
- Procurement or purchasing administration.
- Basic bookkeeping or finance administration.
- Supporting multiple departments simultaneously.
WORKING ARRANGEMENTS
The role will primarily be based from a dedicated workspace in Poole, with the flexibility to work remotely where appropriate following your onboarding period.
Although you'll be based in Dorset, you'll work closely with our established London Head Office team every day through regular communication and collaboration.
There will also be occasional travel to London for training, team meetings and company events. These visits will be infrequent but are an important opportunity to stay connected with the wider business and our club teams.

IMPORTANT INFORMATION
This role is offered on a self-employed contractor basis, and the successful applicant will be responsible for managing their own tax and National Insurance obligations.
Weekend working (Saturday and Sunday) is an essential part of the role and is non-negotiable due to the operational requirements of the business.
