Role Overview
An opportunity has opened for an organized, proactive Water Hygiene / Legionella Service Desk Coordinator to join our fast-paced, well-established and experienced operational team. In this critical role, you will serve as the central operational link between our field-based water hygiene technicians, risk assessors, and clients. You will oversee daily engineering scheduling, process technical compliance documentation, and ensure all routine water safety monitoring tasks are executed seamlessly in strict alignment with UK water hygiene legislation.
Key Responsibilities
- Scheduling & Dispatch: Coordinate, route, and schedule field engineers and Legionella risk assessors for routine water monitoring, remedial works, sampling, and risk assessments.
- Compliance Document Review: Audit, format, and issue field reports, water sample laboratory analysis, and Legionella Risk Assessments to clients, ensuring high technical accuracy and prompt turnaround.
- Logbook & Portal Management: Update and maintain client electronic/paper water hygiene logbooks, update compliance portals and internal CRM systems. Experience of joblogic and legionella dossier would be advantageous.
- Remedial Action Tracking: Identify non-conformances (e.g., temperature threshold fails, elevated bacterial counts) from engineer reports and generate job sheets, quotes, or schedule follow-up remedial work.
- Client & Contractor Liaison: Act as the primary desk-based point of contact for customer inquiries, emergency call-outs, account managers, and specialized sub-contractor coordination.
- Regulatory Record Keeping: Maintain meticulous, auditable compliance and service records in full accordance with UK statutory health and safety standards.
Knowledge & Requirements
Legislative Knowledge:
- HSE Approved Code of Practice (ACOP L8)
- HSG274 Parts 1, 2, & 3 (Legionnaires' disease technical guidance)
- Health & Safety at Work Act 1974 & COSHH Regulations
- Water Supply (Water Fittings) Regulations 1999 / Water Industry Act
- Experience: Prior experience in a service desk, scheduling, or operations coordinator role within the water treatment, facilities management (FM), or environmental compliance sectors.
- Technical Proficiency: Strong IT skills, including MS Office (Word, Excel), and hands-on experience using field management or water compliance software.
- Key Competencies: Excellent written and verbal communication, sharp attention to detail, strong problem-solving capabilities, and the ability to prioritize urgent compliance issues in a fast-paced environment.
