The Central Operations Assistant provides administrative and operational support to the business, ensuring the efficient delivery of central support services across stores and Head Office. Acting as a key point of contact for internal and external stakeholders, the role supports communication, reporting, compliance, travel coordination and general business operations.
The postholder will work closely with operational teams, stores, suppliers and Head Office departments to ensure administrative processes are completed accurately and efficiently, helping the business maintain high standards of service, compliance and operational effectiveness.
Provide administrative support to the Central Operations function and wider business.- Act as a first point of contact for telephone, email and visitor enquiries.
- Provide reception and switchboard cover as required, ensuring calls and messages are handled professionally and efficiently.
- Coordinate meeting room bookings, visitor arrangements and office hospitality.
- Manage incoming and outgoing mail, deliveries and correspondence.
- Book and coordinate company travel and accommodation requirements.
- Maintain office stationery, supplies and refreshment stocks.
- Produce, distribute and maintain operational reports, records and databases.
- Monitor and maintain records relating to incidents, insurance claims and other operational activities.
- Support compliance monitoring activities and escalate issues as appropriate.
- Assist with company communications to stores and Head Office teams, ensuring information is clear and timely.
- Support fleet administration, including servicing, MOTs, insurance, taxation and repairs.
- Prepare correspondence, reports, agendas, meeting notes and other business documents.
- Maintain company contact information, emergency contact records and filing systems.
- Support stores and operational teams with administrative requests and operational queries.
- Maintain first aid supplies and coordinate replenishment when required.
- Provide cross-functional support across Central Operation Department and cover for colleagues during periods of absence, holidays or peak workload.
- Undertake any other duties reasonably required by management.
Previous experience in an administrative, operations support, coordination or office support role.- Strong organisational and time management skills with the ability to prioritise competing demands.
- Excellent verbal and written communication skills.
- Strong customer service skills and a professional telephone manner.
- High level of accuracy and attention to detail.
- Experience producing reports and maintaining records.
- Proficiency in Microsoft Office applications, including Outlook, Word and Excel.
- Ability to build effective working relationships with colleagues and external stakeholders.
- Ability to work independently, use initiative and solve problems proactively.
- Experience coordinating travel, meetings or office administration activities.
- Experience supporting operational, compliance or fleet-related processes would be advantageous.
- Ability to handle confidential information with discretion and professionalism.
- Flexible and adaptable approach with a willingness to support changing business needs.
