Power Engineering is a growing commercial vehicle engineering and maintenance business specialising in HGVs and trailers. We are looking for an organised, proactive, and detail-focused Office Administrator to support our busy workshop and office operations.
This is a varied role that combines administration, customer service, workshop coordination, purchasing, and financial administration. The successful candidate will play an important role in ensuring the smooth day-to-day running of the business while supporting customers, suppliers, workshop staff, and management.
Experience using QuickBooks is essential and forms a key part of this role.
Key Responsibilities
· Managing administrative processes to support workshop and office operations.
· Maintaining accurate records of vehicles and trailers throughout the repair and maintenance process.
· Updating workshop tracking systems and spreadsheets to provide management with real-time information on repair progress.
· Preparing and issuing customer quotations.
· Processing purchase orders and liaising with customers regarding ongoing work.
· Raising invoices and ensuring customer records remain accurate and up to date.
· Using QuickBooks to manage invoicing, financial records, and general bookkeeping activities.
· Producing customer statements and recording payment information.
· Ordering parts, materials, and office supplies.
· Managing incoming and outgoing communications, including emails, post, and telephone enquiries.
· Filing, scanning, and maintaining company documentation.
· Supporting management with reports, research, and other administrative duties as required.
What We're Looking For
Essential
· Previous experience in an administration or office support role
· Strong working knowledge of QuickBooks (essential)
· Good Microsoft Office skills, particularly Excel, Outlook, and Word
· Excellent organisational skills and attention to detail
· Ability to manage multiple priorities and work independently
· Strong communication and customer service skills
· Professional and reliable approach to work
Desirable
· Experience within an engineering, automotive, transport, or workshop environment
· Knowledge of invoicing, purchase orders, and bookkeeping processes
· Experience supporting operational or workshop teams
