About the role
We are looking for an organised and reliable Office Administrator & Sales Support Coordinator to support the day-to-day running of our growing veranda and outdoor-living business.
The role involves managing customer information, preparing quotations and invoices, keeping our CRM system accurate and up to date, and helping ensure customers receive a professional and efficient service.
Main responsibilities
- Preparing and sending customer quotations
- Creating and sending invoices
- Entering new leads and customer information into the CRM
- Keeping customer records, lead stages and installation information updated
- Checking that customer names, addresses and contact details are accurate
- Responding to customer emails and telephone enquiries
- Following up outstanding quotations and customer information
- Booking appointments for surveys, installations and service visits
- Sending order confirmations and customer update messages
- Uploading documents, photographs and signed paperwork to the CRM
- Liaising with the sales, installation and management teams
- Producing basic reports on leads, quotations and sales
- Managing shared email inboxes and general office correspondence
- Filing and organising digital and paper documents
- Assisting with supplier invoices and purchase records
- Helping resolve straightforward customer queries
- Supporting the directors with general administrative tasks
Skills and experience
The successful candidate should have:
- Strong organisation and time-management skills
- Good written and spoken English
- Confidence speaking with customers by telephone and email
- Good attention to detail
- Experience using Microsoft Office or Google Workspace
- The ability to learn systems such as Monday.com, QuickBooks and Quotient
- The ability to manage several tasks without losing track of deadlines
- A professional, positive and helpful attitude
- Previous office administration or customer-service experience
Experience within construction, home improvements, manufacturing or installation services would be helpful but is not essential.
