We are looking for a highly organised and proactive Office and Data Administrator to support the day-to-day operations of Geeks Room CIC.
This role is ideal for someone with strong administrative experience, excellent attention to detail, and the ability to manage multiple systems and tasks independently. Training will be provided on our internal systems and processes; however, applicants should already be confident in core administrative duties, communication, and office organisation. The successful candidate should be confident taking ownership of tasks and maintaining organised systems once familiar with internal processes.
As part of a small and supportive team, the successful candidate will occasionally support young people within the centre environment where required. While this is not a primary mentoring role, confidence working around children and young people is important.

Geeks Room CIC is an alternative education and mentoring organisation supporting children and young people through personalised, engaging, and relationship-led approaches to learning and development.
We work with a wide range of young people, including those with Special Educational Needs and Disabilities (SEND), social, emotional and mental health needs (SEMH), and those who may struggle within traditional educational settings. Our aim is to create safe, welcoming environments where young people can build confidence, develop skills, and thrive at their own pace.
Through a mixture of mentoring, technology, creative projects, life skills, and tailored educational support, we help young people re-engage with learning while building positive relationships and preparing for the future.

Key Responsibilities and Accountabilities
- Maintain accurate student, parent, and client records, ensuring compliance with GDPR, confidentiality, and data protection procedures
- Provide day-to-day administrative support including document preparation, filing, scanning, emailing, data entry, and maintaining office systems
- Respond professionally to telephone, email, and visitor/tour enquiries, supporting communication between Geeks Room CIC, families, schools, and external organisations
- Support student admissions, enrolment, referrals, attendance monitoring, and retention processes, including following up absences and escalating concerns where necessary
- Organise meetings, diaries, travel arrangements, tours, agendas, minutes, and centre activities as required
- ·Prepare and track applications, referrals, operational submissions, reports, presentations, and related documentation using internal systems and templates
- Maintain manual and computerised records and management information systems
- Maintain organised office environments, records, supplies, and equipment stock to support efficient daily operations
- Maintain organised records and administrative systems to support reporting, compliance, and external application processes
- Ensure visitors and students follow signing-in and registration procedures and comply with safeguarding, health and safety, and organisational policies
- Work collaboratively with colleagues, parents/carers, schools, and partner organisations, contributing positively to the ethos and aims of Geeks Room CIC
- Attend relevant meetings and training sessions as required
- Comply with safeguarding, health and safety, confidentiality, and organisational policies at all times
Skills Required and To Be Maintained
The ideal candidate will be someone who enjoys creating structure, keeping systems organised, and ensuring tasks are completed efficiently and accurately.
- Excellent communication and interpersonal skills with a professional and customer-focused approach
- Strong organisational skills with excellent attention to detail and the ability to manage competing priorities
- Confident using Microsoft Office, email systems, spreadsheets, and general IT systems
- Accurate typing and data entry skills with the ability to work independently and use initiative
- Reliable, adaptable, and proactive, with a positive team-focused attitude
- Comfortable working within a busy education or youth-focused environment
- A positive team player who can work collaboratively with others
- Problem-solving mindset with the ability to use initiative

As part of a small and collaborative team, staff may occasionally be required to support wider organisational duties in line with the needs of the centre. Responsibilities may evolve over time in line with the ongoing growth and development of Geeks Room CIC
