Stellantis Fleet Hub Support Assistant Role
Role & Purpose
Stellantis Fleet Hub Support Assistant is a member of the Corporate Sales team and will report to the
Stellantis Corporate Sales Manager. The Fleet Hub Support Assistant will be responsible for providing cover within the department across various roles including but not limited to Sales Administration and Sales Portal assistance as deemed necessary by the volume of orders in the portals or the amount of administrative work to be completed.

Responsibilities – Sales Support
Maintain all online portals used by the Stellantis fleet team facilitating deals between major leasing firms and broker partners.
Regularly update all stock moving enquiries through all stages from “quote” to “delivery”.
Ensure all messages online or via e-mail are responded to with accurate up to date information.
Checking accuracy of orders placed by partners before accepting them.
Fielding incoming calls from lease firms and broker partners
Arranging final delivery to customer and ensuring vehicle is ready to go
Working with the KAM to arrange driver packs, handovers and return vehicles are all booked in as needed.
Update major fleet companies on behalf of the KAM for customers that use portals in conjunction with their funding partners.
Loading all handover packs up to ensure a timely payout from finance firms and broker partners.
Respond to lease firm quotes requests with the required SLA of 1 hour.
Assist Snows Stellantis broker specialist where needed with duties including but not limited to, loading finance agreements on to portals, responding to messages on the portal, booking deliveries and valets as needed.
Create bulk orders and add all costs and bonus entries needed with support from Stellantis Hub manager and team and transfer all costs across to the “Bluebook”
Ensure all agreements are paid out as per the funders/end users agreed terms with Snows and address any issues that may be preventing this.
Communicate with Sales Admin team to ensure vehicles are taxed and invoiced accurately and in the time scales needed.
Current portals used by lease firms and broker partners include Leaselink, Select Car Leasing and Fleet procure, Delivery portals include Drive me and the CEVA portal and a good understanding and knowledge of these would be required to operate efficiently.
Excellent knowledge and understanding of Excel to enable creation and maintenance of data sheets to keep a log of the flow of vehicles through the site.
Communicate with workshop and valet team to ensure vehicles are ready and clean to handover on arrival of delivery drivers.
Responsibilities – Sales Administration
General administration support to include but not limited to:
Ensure delivery schedule is up to date and communicated to hub team.
Work alongside Fleet broker specialist to ensure Leaselink/Select and other order platforms are updated in line with our SLA’s time frame.
Print off all daily Invoices from manufacturers system (EDM) and upload on to Internal system and forward on as necessary if a retail sales vehicle.
Liaises with the fleet sales team to process orders as required in the appropriate manufacturer systems and maintain up to date knowledge of these platforms.
Ensure orders are inputted into companies DMS system and amended as needed through order to delivery process to match final invoice request.
Update corporate customers weekly with the status of all orders using relevant portal systems or e-mail, or as and when contacted by the client.
Upload required information on to Ideal file (Delivery notes, RAV etc)
Completes all pre-delivery related administration (e.g., vehicle registration utilising RAV.)
Keep an updated vehicle arrival to delivery schedule to include actions required such as PDI, Plates, valet, accessories needed and outside contractor visits.
Works with fleet sales manager and specialists to complete sales invoicing, ensuring all costs are included in time to get funding in prior to taxation and release of vehicle.
Keep order bank spread sheet updated daily.
Liaise with customers once cars arrive into stock and book deliveries with appropriate delivery agent.
Email Brokers/ leasing companies copies of delivery notes, RAV, invoices etc as and when required.
Provides appropriate data input for the dealership financial reporting and customer database management purposes.
Promote and maintain positive people relations across the group.
The sales administrator may also be asked from time to time to carry out other tasks not outlined above. Such tasks shall be reasonable and commensurate with the ability of the employee.
