Job Title: Operations Assistant
Department: Operations
Hours of Work: 15 to 20 hours / week (3 or 4 hours / day – Monday to Friday; some flexibility in exact daily start / finish times) plus opportunities to work extra hours each week on an ad hoc basis.
Location: Leatherhead, KT22 7RD. The role generally requires being in the CRY office 5 days / week to oversee outgoing post, but some flexibility can be discussed as required.
Main Duties and Responsibilities:
The purpose of this role is to oversee and assist with key processes in the areas of operations and office logistics. This includes various administrative duties and procedures relating to the daily outgoing post, merchandise, office supplies, keeping the office tidy for staff and visitors and liaising with contractors for office works / repairs.
Duties of this position include:
Main Duties
- Full postal responsibilities which include: picking / packing orders and preparing the day’s outgoing post; receiving incoming orders and moving boxes / items to appropriate storage locations
- Inbox Management – assisting the Operations Coordinator with managing the “Post” and “Facilities” email inboxes
- Being a point of contact for CRY’s Royal Mail business account and troubleshooting any post issues
- Liaising with other departments and suppliers over the procurement (and storage) of varied items of CRY merchandise and screening / office consumables
- Stock / inventory management - keeping track of stock levels and reviewing the efficiency and accessibility of storage space.
- Managing returns of items loaned to CRY supporters for events – e.g. banners, collection boxes, etc – including cleaning of returned items, where required
- Collating information packs which are sometimes requested by CRY supporters.
- First point of contact - answering the front door on the arrival of visitors and logging them via the visitors process
Miscellaneous office logistics
- Secondary phone answering duties (CRY-specific telephone answering training and refreshers will be provided)
- Monitoring and ordering office supplies – tea, coffee, toiletries, etc.
- Assisting the Operations Coordinator with matters relating to the office multifunction copiers – ordering consumables, calling engineers to fix faults, etc
- Miscellaneous other tasks at the request of senior management
Pay: £12.71 per hour
