The Major Projects Association is the UK's leading professional association dedicated to improving the initiation and delivery of major projects.
Our members comprise senior leaders from government departments, infrastructure owners and operators, major contractors, professional service firms, investors and academia. Together, they are responsible for some of the UK's most significant infrastructure, transformation and capital investment programmes.
Through research, events, leadership development and the sharing of practical experience, the Association provides a trusted forum where members collaborate to improve the success of major projects and contribute to economic growth and societal outcomes.
The Role
The Major Projects Association is seeking an enthusiastic Events Co-ordinator to join our team on a full-time basis.
This is an exciting development opportunity offering a chance to gain hands-on experience across both in-person and virtual events. Full training and development support will be provided.
This role offers an excellent opportunity for someone looking to build a career in events, stakeholder engagement and professional membership organisations, while gaining exposure to some of the UK's most significant infrastructure and transformation programmes.
Roles and Responsibilities
Responsibilities include, but are not limited to:
- Liaising with venues for Association events, ranging from smaller meetings through to large-scale flagship events with up to 250 delegates.
- Supporting the production of event programmes under the guidance of the Head of Events & Communications and Events Manager.
- Co-ordinating with team members, speakers, venues and external stakeholders to support the smooth delivery of the Association's events programme.
- Supporting event Technical Advisors (external subject matter experts), where appointed.
- Organise and host pre-event speaker briefings and liaison,
- Producing event slides and associated documentation, including speaker biographies and briefing materials.
- Ensuring all speakers' final presentations, biographies and headshots are received, appropriately formatted and circulated in line with agreed deadlines.
- Managing event information within the Association's CRM database.
- Preparing and distributing delegate joining instructions.
- Producing, issuing and tracking event invitations and responses.
- Supporting the delivery of virtual and hybrid events using platforms such as Microsoft Teams and Zoom.
- Assisting with the planning and delivery of flagship Association events.
- Attending events onsite to support delegate registration, speaker liaison, and event delivery.
- Building positive relationships with delegates, speakers, venues and suppliers.
- Ensuring all event communications and materials are produced to a high professional standard and aligned with the Association's brand.
Essential Skills & Experience
- Strong written and verbal communication skills.
- Confidence communicating with a wide range of stakeholders, including senior industry leaders and external partners.
- Excellent organisational and project coordination abilities.
- Ability to manage multiple priorities and meet deadlines.
- Ability to remain calm and professional in fast-paced or changing environments.
- Strong attention to detail.
- Proficiency in Microsoft Office applications and CRM platforms.
- Ability to work independently while contributing positively to a small team.
Desirable Skills & Experience
- Experience within a membership association, professional body or trade association.
- Ability to understand and present data in a clear and useful manner is advantageous.
- Knowledge of the major projects industry would be an advantage but is not essential.

Location: Hybrid (Oxfordshire, London and home working) with attendance at Association events as required.
Pay: £27,000.00-£31,000.00 per year
