Job Summary
Bradburn Estates is looking for a proactive, organised and confident Property Management Administrator to join our busy property management team in Fleetwood.
This is a varied role combining office-based property management with attending properties and appointments in the local area. You will play an important part in the day-to-day management of our property portfolio, working closely with tenants, landlords, contractors and the wider Bradburn Estates team.
We are looking for someone who takes ownership of their workload, communicates confidently and enjoys seeing a job through from the initial enquiry to completion.
No two days in property management are quite the same, so the ability to prioritise, problem-solve and adapt to changing situations is essential.
Key Duties and Responsibilities
- Handle incoming telephone calls and emails from tenants, landlords, contractors and other parties in a professional and helpful manner.
- Manage and coordinate property maintenance issues from initial report through to completion.
- Liaise with contractors to arrange appointments, obtain quotations and progress outstanding works.
- Keep landlords and tenants appropriately updated regarding maintenance and property management matters.
- Maintain accurate property, tenancy, maintenance and communication records on our property management systems.
- Schedule and coordinate appointments with tenants, landlords and contractors.
- Drive to and attend properties and appointments as required as part of the normal duties of the role.
- Attend contractor appointments, property visits and other property management appointments on behalf of Bradburn Estates.
- Collect and deliver keys, documents and other property-related items where required.
- Follow up outstanding maintenance issues and ensure agreed works are progressed within appropriate timescales.
- Assist with property management compliance and administrative requirements.
- Identify urgent, high-risk or potentially serious property issues and escalate these appropriately.
- Support the preparation and administration of tenancy and property documentation.
- Maintain organised records of correspondence, appointments, works and property-related documentation.
- Work alongside the wider property management team to ensure our landlords and tenants receive a high standard of service.
- Provide general administrative support within the office when required.
About You
We are looking for somebody who is:

- Confident communicating by telephone, email and face-to-face.
- Professional when dealing with tenants, landlords and contractors.
- Able to prioritise effectively in a busy working environment.
- Accurate and attentive when completing administrative work and maintaining records.
- Comfortable attending properties and appointments independently.
- Able to recognise when an issue needs escalating to a senior member of the team.
- Reliable, adaptable and willing to support colleagues when required.
- Experienced in administration, property management, lettings or a customer-facing environment.
Previous property management or lettings experience would be advantageous, although training can be provided for the right candidate.
Driving Requirement
A full UK driving licence is essential for this position.
The successful candidate must be comfortable driving to properties and attending appointments during the working day. Access to a suitable vehicle and appropriate business-use insurance will be required where a personal vehicle is used for work purposes.
Business mileage will be dealt with in accordance with the company's mileage and expenses arrangements.
