About Hotham Hall Estate
This is an exciting opportunity to join Hotham Hall Estate at an important stage in our development. Following a significant restoration and investment programme, the Estate is now establishing itself as one of Yorkshire's most distinctive destinations for weddings, corporate events, private celebrations and more.
Hotham Hall Estate is a wedding and events venue built around the restoration and development of a historic hall and its grounds, including the recently developed Stable Block rooms and event space. Over the past four years the estate has grown from a development project into an operating hospitality business, hosting weddings and events and building a reputation for a high-quality, five-star guest experience.
Purpose of the Role
The Sales Executive is the first point of contact for every enquiry that comes into Hotham Hall Estate — wedding, corporate, and private events. This role owns the sales tracker, qualifies every enquiry by phone, sends the right information, and invites qualified prospects to view the estate. Once enough detail is gathered, the Sales Executive works with the Wedding Manager or Corporate Events Manager to put together a proposal, sees the sale through to a confirmed booking, and hands the event over to the relevant events manager with the tracker and all administration fully completed. The role also owns enquiry and sales reporting, giving the Marketing, Sales and Events Director and General Manager clear visibility of the pipeline at all times.
Key Responsibilities
Enquiry Management & Qualification
● Log every enquiry into the sales tracker (Monday.com CRM) as soon as it arrives, tagged by source (website, wedding directory, referral, phone, walk-in).
● Telephone every enquiry to qualify it properly — confirming date and flexibility, guest numbers, type of event, who the decision-maker is, and getting a clear sense of budget, asking indirect questions where a client is reluctant to give a figure outright.
● Use the qualification call to establish genuine fit before committing further time, so show-arounds are reserved for realistic prospects.
Information & Show-Arounds
● Send tailored information and pricing relevant to each qualified enquiry, rather than a generic brochure.
● Invite qualified enquiries to view the estate and conduct show-arounds of the Hall, Stable Block rooms, and grounds, presenting the estate in a way that builds genuine interest.
● Keep enquiries warm through prompt, professional follow-up between first contact and the show-around.
Proposal & Booking
● Once enough information is gathered, work with the Wedding Manager or Corporate Events Manager to build a tailored proposal, drawing on their event delivery expertise to keep it realistic as well as commercially attractive.
● Manage follow-up and negotiation through to a confirmed booking — signed contract and deposit received.
● Keep the sales tracker fully and accurately updated throughout, so nothing gathered during the enquiry is lost.
Handover
● Hand over every confirmed booking to the relevant events manager (Wedding Manager or Corporate Events Manager) with the tracker and all administration fully completed.
● Give a clear, professional handover briefing so the events manager has full context on the client, their requirements, and anything sensitive discussed during the sales process.
Reporting
● Maintain accurate enquiry and sales data at every stage, and provide regular reporting to the Marketing, Sales and Events Director — enquiry volume and source, qualification-to-viewing and viewing-to-booking conversion rates, and average booking value.
● Flag patterns in enquiries (seasonal demand, popular packages, common objections or reasons for lost enquiries) to inform marketing and pricing decisions.
Person Specification
Essential
● Proven sales experience, ideally in events, weddings, hospitality, or another premium/considered-purchase sector.
● Confident, warm telephone manner with strong questioning and listening skills, and genuinely comfortable asking about budget.
● Highly organised, with excellent attention to detail and discipline in keeping CRM/tracker records accurate and complete.
● Able to write clearly and persuasively, and comfortable collaborating with colleagues to build proposals.
● Comfortable working some weekends for show-arounds as required, with flexibility around the events calendar.
● Based within a commutable distance of the estate.
Desirable
● Experience using a venue or event CRM/sales-tracking system (e.g. Monday.com or similar).
● A track record of meeting or exceeding enquiry-to-booking conversion targets.
● An interest in weddings, events, or the hospitality industry more broadly.
Success Measures
● Enquiry response and qualification time against agreed targets.
● Every enquiry logged and phone-qualified — none left unqualified or not responded to.
● Qualification-to-viewing and viewing-to-booking conversion rates against target.
● Sales tracker records complete and accurate at the point of handover, with positive feedback from the Wedding Manager and Corporate Events Manager.
● Timely, accurate enquiry and sales reporting delivered to the Marketing, Sales and Events Director.
