Archiving Administrator (Temporary - 1 Month Rolling Contract)
As Archiving Administrator you will be responsible for reviewing, organising, cataloguing and archiving documentation relating to individuals supported by the organisation. This includes daily records, care documentation, correspondence, assessments, incident reports and other operational records. You will ensure all records are stored, retained and prepared for disposal in accordance with organisational policies, data protection legislation, confidentiality requirements and document retention schedules.
This will include but not be limited to:
- Sort and review historical and current documentation relating to individuals in our care or any other documentation as required.
- Organise records into structured and accessible filing systems.
- Identify and categorise documents according to organisational filing requirements.
- Prepare records for secure archiving in line with company procedures.
- Create and maintain accurate archive logs and indexing systems.
- Record document locations to ensure information can be retrieved efficiently when required.
- Maintain both electronic and paper-based archive records as directed.
- Ensure compliance with GDPR, confidentiality requirements and retention schedules.
- Identify records eligible for disposal and support secure disposal processes.
- Update spreadsheets, databases and tracking logs accurately.
- Produce progress reports and liaise with your line manager regarding documentation issues.
Skills and experience
- Previous administrative experience.
- Excellent organisational skills and attention to detail.
- Ability to manage large volumes of documentation.
- Good working knowledge of Microsoft Word and Excel.
- Strong communication skills.
- Ability to maintain confidentiality.
- Ability to work independently.
Desirable Experience
- Experience within health and social care or a regulated environment.
- Knowledge of document retention and disposal requirements.
- Understanding of GDPR and records management principles.
- Experience of archiving, records administration or document control.
