Job Purpose
Ensuring every job has the appropriate resource is a critical aspect of this role. The Operations Coordinator must ensure the quantity, quality and appropriate skill sets are sourced in order to guarantee every aspect of a job is delivered in an excellent manner. Ultimately, success will be judged by our ability to deliver events to a consistently high standard.
Along with working closely with Aztec's technical team, establishing and building freelancer relationships will be an essential part of the Operation Coordinator’s role.
The ideal candidate will have strong interpersonal skills, organised working and excellent attention to detail. Some AV knowledge and experience of working within events and exhibitions would be preferred.
Responsibilities
- You will contribute to the day to day planning of Aztec’s field operations
- You will manage technician scheduling by reviewing upcoming events and employee holidays
- You will review and order additional technical resources to fulfil job requirements
- You will provide technicians, freelancers and crew with necessary information to carry out jobs
- You will maintain Aztec’s database of freelancers
- You will administer freelancer purchase orders and send out show schedules to technical teams
- On a more strategic level, you will work with senior management and other colleagues to find new and better ways of working smarter and more efficiently
About you
Do you have a track record of excellent administration and communication? Then this could be the role for you. In addition to the above, in order to be successful with your application, we would expect you to have the following:
- The ability to develop relationships with Aztec’s field teams and freelancers
- Very strong admin skills with a keen eye for detail
- Some audio visual knowledge would be useful, although not essential
- Exceptional written and verbal communications
- First class interpersonal skills and the ability to negotiate
- A good level of numeracy
- Very good all round end-user IT skills

The business mainly provides services to trade exhibitions which generally take place on weekdays. There is a degree of flexibility regarding working hours, as well as an understanding that this is not a 9-5 job.
In terms of work location, the nature of this role requires a high degree of collaboration with colleagues in different departments so it will be performed exclusively in the office. There will be little opportunity for working from home.
