Purpose of Role
VINCI Facilities is responsible for the operation, maintenance and upkeep of London Stadium under a landmark 25-year contract awarded in 2015. The contract encompasses the management of one of the UK's most iconic venues, including supporting world-class sporting fixtures, major music concerts, and large-scale events, whilst coordinating elements of the surrounding parkland.
As part of our continued growth, we are seeking an Assistant Commercial Manager to support the commercial and financial management of the London Stadium contract.
This is a unique opportunity for a commercially minded professional with strong financial administration, cost control and contract support experience. Working on-site at London Stadium, you will play a key role in the day-to-day commercial operation of the contract, supporting both routine facilities management activities and the commercial delivery of major events, including music concerts and sporting fixtures.
Job Description
You will work closely with the Commercial Manager and wider operational teams to ensure accurate financial reporting, cost allocation, event budgeting, procurement support and client applications.
In addition, you will provide guidance and mentoring to the Commercial Assistant, helping to develop their commercial awareness and capability.
Responsibilities
Commercial & Financial Management
- Review monthly ledger cost data and ensure accurate coding and allocation across contracts, events and cost centres.
- Analyse financial information to identify discrepancies, trends and opportunities for improved commercial performance.
- Track expenditure, commitments and forecast spend across the contract.
- Support monthly financial reporting and commercial reviews.
- Assist in the preparation of applications for payment and supporting documentation for the client.
- Raise sales invoices and monitor invoice status to ensure timely processing.
- Maintain commercial records, trackers and supporting documentation.
Event Commercial Management
- Assist in the preparation and management of event budgets for sporting events, concerts and other major venue activities.
- Monitor event-related costs and financial performance throughout the event lifecycle.
- Complete post-event reconciliation exercises, comparing forecast budgets against actual costs.
- Produce financial summaries and lessons learned reports to support future event planning.
- Work alongside operational teams to ensure accurate capture of event costs and revenues.
Procurement & Supply Chain
- Support procurement activities including obtaining quotations and supplier engagement.
- Prepare and issue subcontractor enquiries and packages for both high-value and low-value works.
- Assist with subcontractor onboarding and commercial administration.
- Maintain procurement records and ensure compliance with company procedures.
- Support subcontractor performance and commercial management activities.
Commercial Support & Governance
- Raise quotations for client variations and additional works.
- Assist with change management processes and commercial submissions.
- Ensure commercial records are maintained accurately and audit requirements are met.
- Support the Commercial Manager in identifying commercial risks and opportunities.
- Contribute to continuous improvement initiatives across the contract.
Team Support & Development
- Provide day-to-day support and mentoring to the Commercial Assistant.
- Share best practice and support the development of commercial processes and controls.
- Foster strong collaborative relationships with operational, finance and client stakeholders.
Essential Qualifications/Skills
- Experience within a commercial, finance, contract administration or business support role.
- Strong financial analysis and reporting capabilities.
- Experience managing cost data, budgets and financial reconciliations.
- Understanding of invoicing, purchase orders and cost control processes.
- Experience raising quotations and supporting client applications.
- Excellent attention to detail and high levels of accuracy.
- Strong Excel and Microsoft Office skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong communication and stakeholder management skills.
