This role forms part of a pilot project early intervention service supporting individuals experiencing mild to moderate mental distress, including anxiety, depression, low confidence, trauma, or adjustment difficulties. The aim is to provide timely therapeutic support to improve mental health outcomes, prevent escalation, and support individuals in making positive life and employment-related decisions.
The Triage and Administration Officer will play a key role in managing referrals, coordinating access to counselling services, and ensuring the smooth day-to-day operation of the service.

Triage & Referral Management
- Receive, review, and manage incoming referrals
- Assess suitability and eligibility for the service
- Manage and maintain an active waiting list for counselling
- Ensure timely processing of referrals and allocation of clients
Client & Counsellor Coordination
- Liaise with trainee counsellors to allocate clients appropriately
- Arrange and confirm initial client appointments
- Act as the main point of contact for referral queries and trainee counsellor enquiries
- Coordinate room bookings and allocation for counselling sessions
- Monitor engagement and attendance, ensuring minimal missed sessions and unused capacity
Onboarding & Administration
- Coordinate onboarding of new trainee counsellors with support from a qualified counsellor
- Facilitate onboarding processes including agreements, contracts, policies, and system setup
- Respond to onboarding queries and ensure compliance requirements are completed
- Maintain accurate and up-to-date records, procedures, and administrative systems
Operational Support
- Action and escalate operational issues where necessary
- Monitor processes and identify what is working well and areas for improvement
- Use initiative to contribute to service development and efficiency
- Support outreach activity and referral pathways to increase access to the service
Safeguarding & Governance
- Adhere to safeguarding requirements, organisational policies, and procedures
- Handle incidents or issues in line with policy and escalate appropriately
- Maintain strict confidentiality and professional boundaries at all times
Reporting & Monitoring
- Support the completion of monitoring reports
- Track service usage, engagement, and outcomes
- Ensure accurate data collection and reporting
Additional Duties
- Undertake general administrative duties as required
- Support service delivery as needed within the scope of the role
Essential Skills & Experience
- Strong organisational and administrative skills
- Experience of working or supporting vulnerable individuals
- Ability to manage multiple tasks and prioritise workload effectively
- Excellent communication and interpersonal skills
- Ability to work independently and use initiative
- Good attention to detail and accuracy
- Understanding of confidentiality and professional boundaries
Desirable Experience
- Experience working in mental health, counselling, or support services
- Experience in triage, referrals, or client coordination
- Knowledge of safeguarding practices
Safeguarding Requirement
The successful candidate will be required to undergo an Enhanced DBS check if they do not hold a valid certificate on the DBS Update Service.
Pay: £14.80 per hour
