Resource Administrator
Maternity Cover – 12 months FTC
Salary: £14,245.99 per annum
21hrs per week – Weds, Thurs, Fri
Onsite – Birmingham Business Park (B37 7YB)
The Driver Resource Administrator plays a critical hands-on role in ensuring our driver network is fully equipped, compliant and operationally ready. This is a high-volume, detail-focused coordination role responsible for the day-to-day preparation, allocation, tracking and dispatch of driver equipment and resources.
Working closely with Resourcing, IT and external suppliers, the role ensures that driver kits, IDs, devices, fuel/EV cards and trade plates are issued accurately, on time and recorded correctly across all systems. As well as managing returns and stock control. The role operates in a fast-paced environment and requires strong organisation, accountability and execution.
Role Accountabilities:
Driver Equipment & Kit Coordination
- Prepare, pack and dispatch driver kits in line with onboarding schedules and operational demand.
- Create and issue driver ID badges, ensuring accurate records are maintained.
- Allocate driver equipment including uniforms, iPads, EVo devices, trackers, fuel/EV cards and trade plates.
- Ensure all drivers receive the correct equipment ahead of start dates, resolving discrepancies quickly.
- Breakdown of returned kit, ensuring accurate returns reporting and reallocation of returned assets in a timely manner
Inventory & Asset Administration
- Update and maintain asset records for all issued driver equipment across relevant systems.
- Track allocation, returns and replacements of equipment, ensuring full auditability.
- Support regular inventory checks and audits to maintain accurate stock levels.
Operational Coordination & Inbox Management
- Manage shared inboxes relating to driver resources, equipment requests, and queries.
- Act as a first point of contact for driver equipment issues, escalating where required.
- Coordinate the recovery of equipment from leavers, working with internal teams and recovery partners.
Systems & Data Accuracy
- Accurately update core systems including Manpack, MIB, kit portals, tracker systems and fuel card platforms.
- Ensure data integrity across all driver and equipment records.
- Support reporting by maintaining clean, timely and accurate data entry.
Compliance & Process Adherence
- Follow agreed processes for asset handling, data protection and compliance.
- Support continuous improvement by identifying inefficiencies or recurring issues in daily operations.
- Ensure H&S standards are maintained at all times and the kit room is tidy and clear of hazards.
Knowledge and Experience:
Essential:
- Experience in an administrative or coordination role within a fast-paced, high-volume environment.
- Strong attention to detail with the ability to manage repetitive tasks accurately.
- Highly organised, with the ability to manage multiple tasks and deadlines simultaneously.
- Confident using Microsoft Office, particularly Excel.
- Comfortable working with multiple systems and maintaining accurate data.
- Proactive, reliable, and accountable for assigned responsibilities.
- Strong communication skills and a practical, problem-solving mindset.
