We are a small Southsea-based business seeking a reliable and methodical person to provide part-time bookkeeping, data-entry and project-administration support.
The role will initially involve approximately 8-10 hours per week for two months. Hours can then become more flexible, depending on workload and the successful applicant's availability.
Most of the work can be completed remotely, although the applicant should ideally live in Portsmouth or the surrounding area and be available to attend occasional meetings in Southsea.
Main responsibilities
- Entering small-business income, expenditure, invoices and receipts into QuickBooks
- Checking and categorising transactions accurately
- Maintaining orderly electronic accounting records
- Preparing information for review by the business's accountant
- Entering, organising and checking construction-project information
- Maintaining project spreadsheets, records and document trackers
- Helping to develop a comprehensive asset register for a sports complex
- Recording information relating to premises, equipment, maintenance, compliance, health and safety, inspections and renewal dates
- Helping to organise supporting certificates, manuals, warranties and compliance documentation
- Producing straightforward reports and highlighting missing or inconsistent information
- General data-entry and administrative support as required
The successful applicant should have
- Very good attention to detail and a methodical approach
- Confidence using Microsoft Excel or similar spreadsheet software
- Good general computer and document-management skills
- An understanding of basic bookkeeping
- The ability to work independently and maintain confidentiality
- Good written and verbal communication skills
- Reliability and a willingness to ask questions when information is unclear
Experience using QuickBooks Online would be particularly helpful. Applications would also be welcomed from University of Portsmouth students or recent graduates studying accounting, finance, business, data analytics, project management, construction or a related subject.
Previous experience of construction administration, asset registers, facilities management, compliance or health and safety documentation would be advantageous but is not essential.
The role may suit one person capable of covering both the bookkeeping and project-data elements. However, applicants with particularly strong skills in either area are also encouraged to apply, as the work could potentially be divided between two part-time employees.
